**Job Summary**

The Manager of Operations works directly to support all activities of Programs and Operations. This position reports to Senior Director, Programs and Operations position manages all facets of operations including administrative polices, facilities management, internal systems, and functions by driving efficiencies, communication with a focus on continuous improvements.

**Job Duties and Responsibilities**

**Program Planning, Implementation and Administration**
- Supports the Senior Director, Program and Operations to develop administrative systems, processes, and policies to enhance operations and improve management reporting, operation processes, organizational planning, and program information flow.
- Identifies administrative priorities including operations planning, budgeting, human resources, and program policies and procedures to ensure optimal operations.
- Actively collaborates with HR Advisor and Payroll Administrator to assist with successful onboarding process.
- Monitors daily operations and addresses potential issues when they arise, escalating to the Senior Director, Programs and Operations if required.
- Monitors and supports all facets of the organization’s work to ensure successful review, updates, and evaluation.
- Oversees the organization’s information management systems (IMS) including security, updating and transfer of personal information and ensuring all stakeholders adhere to privacy policies.
- Supports the Senior Director, Programs and Operations in procuring and managing third-party service providers and suppliers.
- Contributes to a positive, supportive, and focused team environment of high performance, transparency, respect, trust, collaboration, and continuous improvement.
- Oversees operational planning activities for areas of responsibility to ensure the smooth and ongoing functioning of the associated program area.
- Ensures business continuity for all program areas in the event of disruption to agency operations.
- Implements approved policies in a manner consistent with and supportive of the vision, mission, values, and goals as described in the Strategic Plan.

**Facility Maintenance and Operations**
- Develop and implement comprehensive facility maintenance plans and schedules to ensure all buildings and equipment are properly maintained and in good working condition.
- Oversee routine inspections, repairs, and preventive maintenance activities to minimize downtime and reduce operational disruptions.
- Coordinate with internal teams and external vendors to address maintenance issues promptly and efficiently.
- Allocate and manage resources effectively, including budget, personnel, and equipment, to ensure the successful implementation of the program.
- Optimize space utilization within the facility by collaborating with different departments and identifying opportunities for more efficient use of space.

**Leadership and Supervision**
- Leads and provides direction to direct reports by establishing standards and expectations, providing overall direction and monitoring performance delivery.
- Support Program Leads and staff by providing directions in operational processes across agency.
- Oversees and evaluates the work delivered by staff, contractors, and volunteers by providing direction as appropriate and monitoring work for compliance with policies and procedures.
- Managing performance of direct reports ensuring that fair training and development opportunities provided.
- Undertakes a coordinated and timely response for emergent issues and involves the Executive Leadership Team and Leadership Team as appropriate.
- Ensures that the Senior Director, Programs and Operations is informed of risk management issues, including those that have implications beyond existing policy or that may have the possibility of affecting the agency’s reputation or resources.
- Participates as a member of the Leadership Team and provides information and recommendations on opportunities to promote CMHA goals and objectives.
- Other duties as required and assigned by your manager.
