Surrounded by Cedar receives its delegation through the Provincial Director of Child Welfare, who gives the agency the authority to undertake administration of parts of the _Child, Family and Community Service Act (CFCSA)_. Under its current delegation agreement, Surrounded by Cedar administers C3 (Family Services) & C4 services (Guardianship).

**Position Summary**

Reporting to the Office Manager, the Guardianship & Permanency Planning Team Assistant provides administrative support to the agency’s Guardianship & Permanency Planning team who provide delegated service to children and youth in care, youth on Youth Agreements, young adults accessing the Agreements with Young Adults Program as well as their families. The Guardianship & Permanency Planning Team Assistant maintains department files, administers Guardianship related financial processes, and provides general administrative support. As a member of the Administrative Services Team this vital position supports and provides back up to other administrative positions during absences or periods of high workload.

**Primary Responsibilities**
- Offer various levels of administrative support to our delegated teams while providing a welcoming environment for urban Indigenous children, youth, young adults, and families.
- Utilize various information management systems including the Ministry Information Systems (MIS), Integrated Case Management (ICM), Resource and Payments System (RAP), JONAS, and Enterprise Document Management System (EDRMS).
- Use your organizational skills to maintain accurate and up-to-date electronic and physical filing systems.
- Enter payments and support staff with travel bookings, including accommodations and transportation.
- Participate as part of the agency’s administrative team.

- Able to work independently with mínimal day-to-day supervision as well as working within a collaborative team framework.
- Respect for Indigenous people and culture.

**Training, Education, and Experience**
- Secondary school graduation or equivalent.
- Post-secondary Office Administration Certificate or equivalent would be an asset.
- Knowledge of standard office procedures and at least 2 years’ experience providing administrative services for an organization.
- Experience using ICM, MIS and RAP systems would be considered an asset.
- Experience with records management including electronic filing systems that contain confidential and sensitive information.
- Satisfactory Criminal Record Check.

**Working Conditions**

Work is performed primarily in the Surrounded by Cedar office. Some lifting and cleaning duties are required. Employees in this position must be able to safely lift between 15 and 25 pounds.
