We currently have an opportunity of **Export Documentation Specialist** in our **Export Department** for a self-motivated, results-driven individual who would be a positive addition to our dedicated staff.

**Brief Job Description**

Reporting to the **VP Finance** the **Export Documentation Specialist** will be responsible for the preparation of all of the export documents for Donald’s Fine Foods. This position also works in conjunction with the rest of the office team in completing reception and other office duties.

**Responsibilities**
- Prepare, verify, and process export documentation, including invoices, packing lists, bills of lading, certificates of origin, and other documents needed for export customers.
- Liaise with the CFIA Veterinary staff for Export documents signed and stamped correctly and timely.
- Coordinate and gather all required shipping and financial documents for preparation and approval. Have all of the documents approved by the customers in a timely manner.
- Maintain open communication on the Export loading and documentation requirements between the CFIA, production, shipping, sales, storage and loading facilities as well freight forwarders and customers.
- Address documentation discrepancies, shipping delays, and compliance issues promptly, and work with stakeholders to find solutions to any challenge affecting shipment delivery or legal compliance.
- Stay updated on international trade laws, customs regulations, and shipping requirements, and verify that all shipments comply with relevant export laws, including embargoes, trade agreements, and classification requirements.
- Review the Export Inventory and the Orders on hand to schedule the loading of the Exports and coordinate with the customers.
- Maintain detailed records of export transactions and documentation.
- Additional duties as assigned.

**Requirements**:

- 2 to 3 years of business, export or documentation experience preferably in the food processing business.
- Effective multilingual language communication skills - Verbal and written English & (Cantonese or Mandarin) is a definite asset.
- High School and some Post-Secondary education ( CITP or CCLP as asset)
- Computer/System literacy - Microsoft Office; Inventory/Planning/Scheduling
- Ability to multitask for a large volume of transactions.
- Ability to work independently as well as in a team environment.
- Regular hours - Monday to Friday, some weekends may be required
- Shift - 8:00am to 5pm (flexibility required based on business needs)
- Ensure all documentation complies with the destination country's requirements and international trade regulations.
- Ensure that all time sensitive documents completed without errors and on time.
