**Job Overview**

**PROGRAM MANAGER JOB DESCRIPTION**

The Jessie Home Program Manager reports to the Executive Director and is responsible for managing the administrative tasks for the overall functioning of the program. This position assists with communication flow internally and externally and ensures the smooth operation of the Jessie Home administrative activities and function for that program.
- **Key Areas of Responsibility**_

**ADMINISTRATIVE**
- Assist with staff recruitment and selection process with Executive Director
- Direct supervision of program staff
- Prepare scheduling for full, part time and casual program staff
- Identify and assist with professional development opportunities for staff
- Facilitate resident specific (i.e. intake, discharge, IPP) meetings with social workers and others as required
- Oversee program staff for adherence to and compliance with Jessie Home policies and procedures as well as provincial licensing guidelines

**FINANCIAL**
- Monitor and submit time sheets
- Maintain petty cash accounts
- Report to Executive Director regarding expenditures

**PERSONNEL RECORDS**
- Enter all information on new employees and transfer to master file in head office

**COMMUNICATION**
- Contact with government and agency personnel regarding various administrative issues specific to the program
- Participate in meetings as required for increased communication between staff and program expectations
- Direct reporting to the Executive Director on all administrative matters
- Co-ordinate admissions and discharges
- Facilitate and maintain a good working relationship with the police
- Ensure that Missing Person Reports are issued and cancelled as required
- Facilitate involvement in available training programs and special grant positions
- Sit on any committees that are relevant to the program or enhances the image of

the program in the community

**RECORD KEEPING, DOCUMENTATION & INFORMATION FLOW**
- Maintain all records and documents for the program and ensure that all information is current and that it is shared with the Executive Director as applicable
- Keep paperwork and digital records organized and filed
- Ensure new staff receive orientation according to the Child and Family Services Standards regulations.
- Works with the Executive Director to identify and meet training needs
- Schedule Independent Treatment Plan meetings for all youth within the first 30 days of placement and quarterly thereafter
- Communicate the young person’s updated short and long term goals to staff at a

staff meeting. Discuss ways that staff can support the goals
- Chair weekly staff meetings
- Schedule, set agenda and facilitate weekly meeting
- Facilitate the resolution of any conflicts within the child care team
- Take responsibility for supervision of the Child & Youth Care Staff and support staff in developing their child and youth care skills
- On call 24/7 for issues with staff, program or clients unless otherwise arranged
- Submit youth attendance statistics to head office

**PROPERTY AND ASSETS**
- Ensure the physical upkeep of the facility, house, furnishings, yard and

equipment
- Responsible for maintenance/upkeep of program vehicles
- Report issues related to property, vehicles, or other assets such as furniture/appliances to the Executive Director

**HEALTH AND SAFETY**
- Establish and maintain all procedures and routines related to health and safety of staff and residents in conjunction with Jessie Home Policy and Procedures Manual and Child and Family Services Standards Manual
- Ensure all regulations and standards pertaining to the operation of a group care

facility are met
- Prepare for the annual Standards and Program Review as scheduled on a

yearly basis
- Implement all recommendations from the annual Standards and Program Review

**NEEDS OF YOUTH**
- Schedule tutoring services for residents as required
- Ensure that appropriate school placements are negotiated for each child
- Ensure that there is ongoing contact with principals and teachers
- Ensure that there is a treatment plan and daily care plan for each child

weeks after admission
- Ensure that medical, dental, optometrist, and orthodontic appointments are made

**OTHER RESPONSIBILITIES**
- Plan and implement celebrations for youth at the time of discharge, birthdays, holidays and staff social events
- Purchase of items that are required for the office or for a program area as requested by staff members

Pay: $26.00-$29.45 per hour

Expected hours: 40 per week
