**The Opportunity **Â
South Bow is seeking a highly organized and detail-oriented Receptionist to join our dynamic team. The Receptionist acts as an ambassador for South Bow by presenting a positive and customer focus attitude towards customers and employees. Â The Receptionist is responsible for the daily upkeep of the office as well as providing backup administrative support to the administrative team.
This individual will have a professional demeanor with the ability to work effectively in an autonomous environment. In addition, you will have the ability to exercise tact and discretion when dealing with confidential and sensitive information.
**What You Will Do**
'¢Â   Greet and welcome internal and external guests at the main receptionÂ
'¢Â   Answer the main phone line and respond to general inquiries from the publicÂ
'¢Â   Present a positive and professional image of the organization to all visitors and callersÂ
'¢Â   Sign in visitors, provide temporary building passes if required
'¢Â   Prompt pickup/drop-off, distribution and preparation of incoming and outgoing mail and couriersÂ
'¢Â   Maintain the daily upkeep/cleanliness of all common areas; reception, meeting rooms, copy areas, supply/storage room, lunchroom and kitchenettesÂ
'¢Â   Ensure all machines in common areas are functioning and arrange services as required (coffee machines, photocopiers, check-in system, etc.)Â
'¢Â   Assist in meeting logistics (calendar bookings, catering, registration, check-in, room set up/clean up)Â
'¢Â   Manage office supply inventory (tracking and ordering)Â
'¢Â   Manage phone lists and reception manualÂ
'¢Â   Liaise with building maintenance and external vendors providing office servicesÂ
'¢Â   Provide backup administrative support to the administrative team
'¢Â   Maintain the reception area to ensure it is tidy and professional
'¢Â   Manage incoming and outgoing mail and packages
'¢Â   Assist with scheduling appointments for visitors and meeting room bookings
'¢Â   Handle sensitive and confidential information and issues in an appropriate and professional manner
'¢Â   Develop relationships and work collaboratively on tasks and deliverables with administrative staffÂ
'¢Â   Various administrative tasks including drafting correspondence, scheduling meetings, photocopying documents, ordering couriers, and responding to enquiries
'¢Â   Other office duties as assigned
**Minimum Qualifications**
'¢Â   At least 5 years of related work experience with increasing levels of responsibility
'¢Â   High school diploma or post-secondary certification in administration from a recognized institution
'¢Â   Expert in the use of MS Office suites (PowerPoint, Excel, and Word)
**Preferred Qualifications**
'¢Â   Working knowledge of Workday and SAP would be considered an asset
'¢Â   High degree of professionalism, excellent communication skills, and the ability to maintain confidentiality
'¢Â   Exceptional judgement and discretion when dealing with internal and external parties
'¢Â   Proven organizational, planning and prioritization skills; ability to work in a fast-paced environment and manage tight deadlines
'¢Â   Excellent communication skills, both written and verbal with the capability to manage information and correspondence on multiple levels
'¢Â   Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
