Administrative Assistant

The Administrative Assistant of Thordon Bearings reporting to the Human Resource Manager will provide administrative support to the HR Manager and CEO as described below.
**Duties and Responsibilities**
- Perform a variety of administrative duties, such as generating and distributing memos, letters, meeting room reservations, catering requirements, document scanning and videoconferencing
- Prepare agendas and maintain calendar for CEO.
- Make travel arrangements for Executives, including booking flights, arranging for hotel reservations, and ordering rental cars
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Assist the CEO in the development of presentations for internal and external audiences
- Attend SMT meetings and generate and circulate electronic minutes for SMT meeting
- Prepare, reconcile, and submit expense reports
- Update CRM database and enter data as directed by the VP Sales if required
- Prepare, reconcile, and submit expense reports
- Supports human resources processes by scheduling appointments, maintaining records in BambooHR, maintaining files and other confidential documentation
- Assists HR Manager with the recruitment process and notifies Managers when employees with upcoming probationary reviews
- Support and coordinate company social events with assistance from the Marketing department; such as fundraisers, golf tournaments, and staff appreciation events
- Coordinate training activities and maintain documentation in Bamboo HR
- Assist administratively with team building initiatives (Lunch & Learns)
- Routinely perform a wide variety of support duties
**Minimum Requirements**
Administrative Professional Certification, Business Administration Diploma
2-4 years of related experience
**Knowledge, Skills and Abilities Required**
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Skilled in office software (Microsoft Office suite, Google Workspace, CRM software)
- Ability to work under pressure and meet deadlines
- Ability to work independently
- Strong organizational skills
- Requires good judgement and a professional demeanor
