Under the guidance of the Director of Facilities, Maintenance and Transportation, the Administrative Secretary will manage,
maintain, and facilitate the operations of the Facilities Department office and will provide clerical and administrative support
to Facilities Department personnel. Typical duties will include scheduling meetings, preparing minutes, data collection,
Word processing, preparing reports and transcribing confidential correspondence. The Administrative Secretary will
organize and maintain office files, support the entry and processing of custodial absences, track use of school facilities by
external groups and perform other related secretarial duties within the guidelines, regulations, and policies of the Louis Riel
School Division.
**REQUIRED AND PREFERRED QUALIFICATIONS**:
Education:
- Completion of a diploma or certificate program in an Administrative Assistant, Secretary, Office Administration or

related discipline from a certified business school or college is required
- An equivalent combination of related experience, training and education may be considered

Experience, Knowledge, and Skills (must be able to demonstrate):
- Three (3) years of recent experience in a senior/head secretary or office manager role is required
- Previous administrative experience in a school division is preferred
- Knowledge of construction and facilities terminology along with Maintenance Department procedures is preferred

- Proficiency with Division based software and knowledge of Division policies, procedures and knowledge of collective

confidentiality and privacy issues is required
- Ability to act with initiative, strong organizational and prioritization skills, and exceptional time management
- Ability to work independently with mínimal supervision as well as harmoniously with colleagues, managers,

administration, staff, and the public
- Demonstrates excellent judgment, problem solving and analytical skills with the ability to interpret situations accurately

and act accordingly
- Excellent verbal and written communication skills are required (in both official languages (French & English) would be

an asset)
- A basic understanding of accounting theory and procedures as well as payroll and related legislation is preferred
- Flexibility with work hours may be required
