The Office Coordinator position is a team-oriented position with a diverse set of responsibilities, allowing the successful applicant the opportunity to demonstrate and use their problem-solving and decision-making skills. We are looking for someone who is a self-starter, quick-learner, organized, and comfortable in a fast-paced setting.

This position plays a key role in providing accurate and relevant business information and support to each department, ensuring paperwork is completed properly, organized, and posted; that requested purchases are approved prior to submission; customer accounts are up-to-date and past due balances addressed; and HST and WSIB remittances are completed.

This is a dynamic position and you will be interacting daily with:

- Suppliers
- Customers
- Employees
- Management
- **Responsibilities**:_
- Data-Entry (QuickBooks, MS Office, Inventory Control)
- Interaction with Customers and Suppliers - from RFQ through to Order Fulfilment
- Co-ordinating with Production, Operations and Project Managers
- Be a source of information to all departments
- Hourly Personnel coordination
- Finance/Accounting: AP/AR, HST and WSIB reconciliations
- Sales: provide quotations to customers;
- Purchasing: procure and fulfill materials/labour requirements;
- Production: ensure information and materials are arranged to support a smooth production run.
- Update all required information using the internal project management system
- Provides positive customer service.
- Active familiarization with production activities as customer orders are processed.
- Material/inventory management
- Communicate and elevate customer inquiries/concerns in a timely manner.
- Support continuous improvement initiatives.
- Administrative tasks and filing.
- Any additional tasks required by Management
- **Required Skills**:_
- College and/or University diploma/degree in business or a relevant discipline.
- Minimum of 2+ years of related experience; or equivalent combination of related education and experience;
- Excellent communication skills
- Strong attention to detail;
- Able to adapt in a fast paced environment;
- Ability to develop and/or contribute to business analysis and business requirements gathering and documentation;
- Calm and patient under pressure;
- Self-motivated, assertive, and proactive;
- Team-oriented: Personable and can work with team-members one-on-one;
- Excellent relationship building skills;
- Previous experience in a customer service/supportive role within in a manufacturing, construction, or architectural environment an asset
