**Position: Service Writer/ Receptionist**

**Responsibilities**
- Answer, screen and direct incoming calls; relay messages
- Maintain a log of visitors and calls for the Vice President
- Keep the front area and boardroom tidy
- Pick up and distribute mail daily; distribute faxes
- Provide administrative support to Management
- Provide clerical assistance to departments as needed
- Maintain and distribute the Custom Vac internal phone list
- Scan and forward cheques for Custom Vac to Western Star (notify Western Star AR & forward)
- Daily time adjustments for Custom Vac hourly employees
- Order office supplies, toiletries and coffee supplies
- Schedule boardroom meetings
- Assist with set up of new hires (time clock, etc.)
- Point of contact for vendors and contractors (CINTAS/Brazilian Coffee, etc.)
- Communicate with phone service provider and answering service when there is a disruption in service
- Communicate with janitorial service, if required
- Distribute time off requests to HR and update employee schedule (vacation requests, sick days, LOA)
- Create/revise and issue Customer work orders for repairs and service
- Review, revise, close and invoice work orders
- Issue purchase orders and internal work orders as required
- Collect and process payments for completed service and repairs
- Create and file policy documents as requested
- Match packing slips and Purchase Order’s to invoices, check to ensure amounts match the Purchase Order, sort alphabetically, enter on invoice log and submit to Western Star
- Assist in maintenance of Parts department files

**Qualifications**
- Excellent Customer Service skills
- Attention to detail is a must
- Ability to multi-task
- Organization skills required
- Work Order processing experience considered an asset
