**Admin Assistant**

**Little River**

**Responsibilities**:
Provides administrative support to the Marine Superintendent by:

- Determine the nature and scope of key issues and concerns, prioritizing and managing using sound judgment

and decision making;
- Exercising good judgment in determining emergent issues and alerting the Marine Superintendent

accordingly;
- Providing advice and administrative assistance to the Masters;
- Arranging meetings, preparing agendas and information packages, recording and distributing minutes and

bringing forward pertinent issues. Conducting follow-up to verify the prompt implementation of agreed-upon
courses of action;
- Travel to meetings when required;
- Maintaining/coordinating calendars, scheduling meetings, travel and accommodation;
- Maintain confidential files, documents and records;
- Coding and verifying invoices, resolving discrepancies, and recommending payment;
- Provide budgetary assistance by issuing, processing and tracking purchase orders; verifying and processing

invoices; monthly variance reporting. Assisting the Marine Superintendent with the yearly budget build;
- Assisting the Marine Superintendent with approving expenses;
- Monitoring, approving and submitting EZLabour for all Exempt Masters in the region;
- Processing sea time requests and documentation for crew with respect to certificates and/or renewal of

certificates;
**Skills and Qualifications**:
**Qualifications**
- Completion of secondary school graduation, preference given to those holding relevant additional training in

standard business practices and office administration;
- 3 - 5 years’ experience in office/admin support roles

**Skills**
- Demonstrates a high degree of professionalism;
- Ability to work well under pressure and time constraints to prioritize competing tasks appropriately;
- Strong organizational skills;
- Willingness to take initiative;
- Team player, with key working relationships both internal (maintains cooperative and positive relationships with related field personnel) and external (maintain a working relationship with Transport Canada Offices, North Coast travel provider)
