**Key Responsibilities and Expectations**:
The Shop Administrative Assistant will provide overall assistance and support to the Beloeil facility.
- Invoice jobs, accounts receivable, accounts payable
- Ensure employee time is accurate and submit to payroll
- Answer and transfer incoming facility calls
- Greet, direct and coordinate IPS site requirements with customers, contractors and third party vendors
- Manage Conference Room schedule with internal and external parties utilizing multiple calendars
- Coordinate onsite and offsite business meetings and special events (may include: hotel/conference room reservations, lodging, transportation, sending out meeting requests, creating agendas, ordering food for meals and breaks)
- Be responsible for ordering supplies and timely processing of purchasing card transactions and expense reports in accordance with established policy guideline
- Provide administrative support by generating documents, presentations and spreadsheets as necessary
- Maintain operational review folders, organization charts, distribution lists and employee directories
- Update and publish various plant metrics, i.e. dashboards
- Collaborates with the accounting department team, at month-end, quarter-end and year-end. (Various analyses, reports)
- Is responsible for issuing bills of lading to customers and other shipping & Customs Documents
- Maintains and/or operates various databases and internal computer systems
- Collaborates closely with the coordinators of HSE, quality and operation
- Is Responsible of factory inventory management
- Collaborate with human resources, write letters & Memos
- Assist the director
- Perform special assignments and other duties as necessary

**Qualifications and Competencies**:

- Degree from an accredited college or university (or High School Diploma / GED) with a minimum of 5 years of work experience)
- Minimum of 5 years of experience working in office environment
- Fluent in French & English languages (spoken & written)
- Knowledge of all basic office equipment required
- Strong organization and efficiency skills
- Clear, concise and articulate communication skills - verbal, written and listening
- Team player - able to take on adhoc assigned tasks
- Ability to use discretion with sensitive information
- Ability to interact effectively with all levels of employees as well as external clients
- Excellent interpersonal, teamwork and customer service skills
- Strong multi-tasking skills and able to handle competing priorities under tight deadlines with attention to detail.
