The Granite Club is looking for a Tennis Administrator who will serve the best interest of the Club and its Tennis Members in efficiently and productively administering the Tennis Section, while reporting to the Head Tennis Professional. The incumbent is expected to provide support to the Head Tennis Professional and all the Tennis Professional Staff and Athletic Coordinators in order to deliver service which exceeds Member expectations.

**Primary Responsibilities**:

- Maintain in-depth knowledge and understanding of Northstar software, including registration system and POS for billings
- Build and maintain InMotion class code database and construct all classes throughout the year. Publish in the Activity and Sport Programming Guide
- Build and maintain accurate employee and contractor lesson and clinics commission rates
- Accurately bill all private lessons, special events, Pro-Ams, Tournaments, and maintain records
- Prepare Northstar reports as required and investigate any accounting inquiries
- Working with the Facilities Department create seasonal schedules for tennis courts and book courts appropriately
- Ensure all program and maintenance times, team practices, matches, bubble installation, bubble removal are blocked off in InMotion
- Organize and receive invoices and cheque requisitions for Tennis Department and ensure payments to Vendor are made on time
- Maintain efficient and organized filing and electronic document system in the Tennis Department
- Promote existing and new programs within the Tennis Section, liase with the Communications Department through work orders for timely promotion of events through the Club communications vehicles
- Provide information on programs, special events, bubble schedules, court maintenance, and Committee as needed
- Solicit and prepare monthly Granite News submissions
- Monitor and maintain an on-going list of Tennis Section Member accomplishments that would qualify them for the Club’s Annual Recognition Dinner
- Complete Accident and Incident Reports as required and follow-up with appropriate Members and Staff
- Organize and assist with special events, hosting of internal and external tournaments, Pro-Ams, and social events
- Create seasonal schedule(s) for tennis courts
- Assist the Head Tennis Professional in communicating contractor information, rates, etc. to the Athletics Manager
- Respond to all Member and Staff inquiries in a timely and effective manner
- Arrange Committee and other meetings including room bookings, Food and Beverage, audio visual, and communication
- Provide regular communication to athletes and parents as needed
- Manage Head Tennis Professional’s schedule and communication
- Assist Athletics Manager with paperwork and deadlines for contractors hiring, training and requirements
- Ensure the office environment is well presented and that desks are adhering to the nightly clean desk policy
- Other duties as assigned

**Required Qualifications**:

- Post-Secondary Diploma or Degree
- Current CPR/First Aid training
- Member of the TPA preferred
- Knowledge of Tennis and the Tennis Industry
- Ability to work as a team player (compatible)
- Excellent interpersonal and communication skills (both written and oral English skills)
- Enthusiastic and reliable
- Strong organizational and time management skills
- Computer literacy
- Available to work extended hours and weekends
