Front Desk Receptionist

Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers regarding damages, repair process and timeline and costs
- Schedule appointments and maintain calendars for multiple staff members
- Assist with administrative tasks such as filing, data entry, and document preparation
- Manage incoming and outgoing mail and package
- Maintain a clean and organized front desk area
- Provide excellent customer service to clients and visitors
- Handle sensitive information with confidentiality
- Update customers on their repair process and give them correct information on the status of their repairs
- Prepare and inspect all Body shop files for accurate posting and payment before pickup
- Handle all payments after the repairs are completed
- Close-out repair orders
- Occasionally assist with creating estimates if needed
- Other duties as assigned
Qualifications:
- Proven experience as a front desk receptionist or in a similar role
- Strong organizational skills with the ability to multitask and prioritize tasks
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with audatex is a plus
- Excellent communication skills, both verbal and written
- Attention to detail and accuracy in data entry and proofreading
- Ability to maintain a professional demeanor in high-pressure situations
- Knowledge of office procedures and basic administrative tasks
- Experience working in a auto body shop
- Professional phone etiquette and customer service skills
