Reporting to the HR Manager, the HR Admin position is responsible for providing administrative support to the Human Resources department. This includes managing HR records and databases, preparing reports, processing employee documentation, coordinating recruitment activities, assisting with employee onboarding and offboarding processes, and handle various HR-related queries. The HR Admin also helps plan and organize HR initiatives, such as employee engagement programs and training/development sessions and assists in maintaining compliance with employment laws and regulations. The position requires strong organizational and communication skills, as well as the ability to maintain confidentiality and work effectively in a team environment.

Overall, the HR Admin plays a crucial role in ensuring the smooth running of HR operations within an organization. **This is a 6 month term contract with the possibility of extension.**

**KEY PERFORMANCE INDICATORS (KPI’s)**
- KPI’s will be determined each year in accordance with required initiatives.
- KPI’s will include company financial targets, team targets and individual targets.

**KEY RESPONSIBILITIES**
- Assist HR team with day-to-day administrative tasks, including managing calendars, scheduling meetings, and coordinating appointments.
- Ensure accurate and timely processing of HR-related documents such as employment contracts, offer letters, and termination documents.
- Maintain HR filing systems, electronic and physical, ensuring that all documents are properly recorded and easy to access when required.
- Monitor and track employee leave requests, ensuring accurate record-keeping and timely communication with relevant stakeholders.
- Support the onboarding process for new hires, including verifying employment eligibility, completing necessary paperwork, and coordinating orientation sessions.
- Support the Offboarding process, including conducting exit interviews, gathering information, updating systems, etc.
- Assist with HR data entry and report generation, ensuring the accuracy and confidentiality of sensitive employee information.
- Assist with the coordination of HR projects and events, such as employee engagement initiatives, benefits enrollment, team building events, training sessions or performance evaluation processes.
- Respond to employee inquiries and provide general HR-related guidance in a timely and professional manner.
- Support payroll administration by providing relevant employee data and assisting with any related tasks.
- Assist in maintaining accurate HR databases and HR information systems, updating employee records in compliance with legal requirements and company policies with relevant information in a timely manner.
- Support with the coordination and administration of employee benefits programs such as health & dental and savings program.
- Prepare correspondences, memos, and reports relating to HR function, ensuring accuracy and professionalism.
- Keep track of important HR deadlines and assist with compliance reporting as required.
- Perform any other duties as assigned by the HR Manager.

**QUALIFICATIONS, SKILLS AND KEY COMPETENCIES**
- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent work experience)
- 1-2 years of work experience in an HR or administrative role.
- Sound knowledge of HR processes and best practices
- Familiarity with HRIS (Human Resources Information Systems) and basic understanding of payroll systems
- Familiarity with HR policies, procedures, and employment laws.
- Knowledge of recruitment processes and best practices.
- Adaptable and flexible, with the ability to work in a fast-paced environment.
- Strong attention to detail and ability to maintain accuracy in data entry
- Excellent organizational and time management skills
- Ability to handle multiple priorities and work in a fast-paced environment
- Excellent written and verbal communication skills
- A strategic administrator: must understand the value of accurate and timely administration, and the importance of proper documentation, procedures, workflow, etc.
- Strong ethical standards and ability to maintain confidentiality of sensitive information
