We are seeking an Office & Communications Coordinator to join our Coughlin team in Winnipeg, MB.
The Office & Communications Coordinator provides administrative support to the company, including coordination and scheduling of day-to-day operations (reception, mailroom, inventory, telephone system), records management, facilities matters and special projects. This position will also serve as backup to general operations duties as required. This position supports the Director of Operations with daily operational activities including space planning, coordination of setups, equipment repairs and maintenance, purchasing, inventory management, asset tracking and health and safety matters.

The Office & Communications Coordinator also provides administrative support to the Consulting team (minutes, formatting documents, meeting preparation and scheduling, travel arrangements) and to the

**The Office & Communications Coordinator will**:

- Perform all tasks related to Records Management which includes collaborating with all departments to assess, assemble and prepare documents for offsite.
- Provide backup to Reception and Mailroom duties such as phone coverage, processing incoming mail and correspondence and processing outgoing mail with mailing equipment.
- Support with electronic data and document maintenance to include scanning, faxing, filing, destroying, photocopying, data entry and any processes required to prepare documents for these actions
- Provide general guidance and support to Operations staff while fostering good morale and conflict resolution
- Maintain procedure manuals, including documenting new procedures and updating current procedures
- Verifying work and data in the scope of the position for accuracy and completion.

**T**o be successful **as a Office & Communications Coordinator **with Coughlin & Associates, you will need**:

- 2 years of work experience in an office environment is expected
- knowledge of Microsoft Office suite, office equipment and standard office administration procedures
- Strong attention to detail, organizational skills, the ability to prioritize and multi-task, and the ability to manage time effectively
- Strong data entry skills
- The ability to maintain good public relations, both within and outside the organization.
- Working knowledge of Microsoft Outlook, Word and Excel.
- Strong written and verbal communication.
- Organized with time management abilities.
- Detail oriented with the ability to perform tasks with a high level of accuracy.
- Ensuring a positive client experience is something you're passionate about.
- Previous experience in an office setting or as a Receptionist is considered an asset.
