**Assistant Manager, North York Winter Tennis Club**

**&**
**Assistant Administrator for the NYTA**

**Reporting to the Manager of the North York Winter Tennis Club (“WTC”) and**
**Administrator for the North York Tennis Association (“NYTA”).**
Full time, permanent, five days per week, 40 hours weekly 9am - 5pm
Be on call for emergencies or where necessary by booking staff or as determined by the Manager

**Duties and Responsibilities**:
**WTCAdministration**:

- Supervise shift staff and ensure such staff are always in place and conducting their duties properly.
- Approve & process time sheets submitted by staff and ensure completeness of staff files.
- Arrange for training of shift staff.
- Deal with complaints and concerns from club members and the public relative to club operations.
- Be responsible for Permanent Court Time allocation.
- Have full knowledge of the Quick Books accounting system.
- Manage and control all Accounts Receivable matters.
- Organize and prepare for approval by the General Manager all disbursements and invoices and ensure all cheques issued are in order.
- Prepare WTC Budgets and Financial Statements for the General Manager.
- Prepare regular reports and financial reports for the Manager for presentation to the WTC

Board meetings.
- Organize and prepare documents and materials for the WTC Annual General Meeting.
- Ensure office and cleaning supplies are ordered as required.
- Manage court bookings and ensure preparation of draw sheets for Tournaments, Round

Robins, and any other program material.
- Undertake other administrative duties as assigned by the Manager.

**NYTA Operations & Administration**:

- Work with the WTC Head Pro and the Manager WTC /NYTA Administrator to promote and direct the year-round junior Programs.

This work involves: o Design and implementation of large scale children's’ instruction programs o Organize School visits to promote tennis. o In conjunction with the WTC Head Pro and WTC Manager hire the many instructors required for the after school junior programs including the drafting of their contracts.
- Help organize and prepare the material for the NYTA Annual General Meeting.
- Deal with complaints of the public relative to club operations.

- Prepare and oversee the NYTA Leagues.
- Write newsletters directed to the clubs of the NYTA Association when needed.
- Organize and prepare for approval by the General Manager all disbursements and invoices and ensure all cheques issued are in order.
- Work with the Administrator in obtaining Treasurer’s post approval for disbursements
- Prepare NYTA budgets and financial Statements.
- Prepare regular reports and financial reports for the Administrator for presentation to the

NYTA Board meetings.
- Organize and prepare the material for the NYTA Annual General Meeting
- Prepare and supervise distribution of material promoting club membership and the sport of tennis.
- Prepare and supervise distribution of all Junior program material.
- Prepare advertising material when necessary for the promotion of programs.

**WTC Maintenance Operations of Clubhouse and Bubble Facilities**:

- Test and ensure that the safety equipment is tested and operational as required. Compile and maintain safely log for Manager’s review.
- Must be present when service work is in progress on any bubble pressure equipment.
- Keep facility clear of snow while providing a safe environment for the members
- Identify problems and rectify by whatever means necessary to ensure continuance of operation and safety.
- Be on call as required for whatever tasks may be necessary as determined by the

Manager.
- Perform basic maintenance duties as required.
- Take the lead in supervising the takedown and put up of the bubbles.
- Undertake other operational duties as assigned by the Manager.

**Job Requirements**
**Education and Experience**
- Prefer Post-secondary education degree or diploma in Technical Program or Business.

**Qualifications**
- Strong interpersonal and communication skills, both written and verbal
- Detail oriented, strong time management and organizational skills.
- Must be customer oriented and able to deal fairly with club members and customers and handle conflict and difficult situations calmly in a professional manner.
- Proficiency with Microsoft Office with strong excel skills.
- Web site updating abilities.
- Valid Driver's license.
- Must be able to pass a Police check

**Salary Range**
- $50,000 to $85,000
- Benefit package available

**CONCLUSION**

The ultimate objective of this position is to be the back up to the General Manager, maintain a safe and successful tennis club and develop the best climate possible for the promotion of Tennis in general and get more people involved in the sport with the emphasis on Juniors.
