**Event Coordinator - Full Time Contract**

**About the role**:
**Responsibilities include**:
Event Planning and Production
- Attend in-person and virtual client meetings as required
- Attend site visits
- Prepare event files for each event
- Take notes at all meetings and update files accordingly
- Take photographs at all site visits and update files accordingly
- Assist with vendor sourcing and negotiations
- Assist with proposal creation including but not limited to; event ideation, creating powerpoint presentations, creating event budgets, sourcing images for visual presentations
- Help to create and revise room layouts for each event.
- Serve as liaison with vendors on event-related matters.
- Assist with managing on-site production of events as necessary including managing vendors and supervising on-site staff
- Assist with virtual & hybrid events as needed
- Prepare forms, schedules, materials, packages, registration lists, etc. as needed
- Some travel may be required.

Event Administration
- Assist with ongoing management of event budgets
- Provide periodic progress reports for each event project.
- Coordinate appointments and scheduling of events on the calendar.
- Act as the point of contact for smaller events as needed.
- Help to document activities prior to and during the events for social media and marketing
- Assist with managing, and maintaining all of Creative Twist’s social media accounts including creating and scheduling posts, and tracking analytics.

**_This position is funded by a Canada Summer Jobs grant so you must be under 30yrs years of age._**

We are looking for someone with 2 - 3 years’ experience planning events (outside of school). We'd also consider someone who has been working on the supplier side of the industry or with a background in theatre design or production. Extra points if you have studied Event Management in a post-secondary program.

**Requirements**:

- You will need an appropriate place to work at home with the ability to be on video calls with clients, and colleagues. Virtual backgrounds are not always possible.
- Laptop or desktop computer (not a tablet or mobile device) and a second monitor
- Reliable high speed internet connection - preferably wired
- Professional/non-distracting work setting for on-camera meetings
- Wired headset with built in microphone
- Reliable transportation and clean driving record

**Salary: Starts at $18/hr based on 35 hours a week.**
- This is a 3 month contract but there is the opportunity for it to extend to a permanent role if there is a good fit. Compensation will be reviewed if the contract is extended.
