**JOB SUMMARY**
The Orchestra Manager is responsible for the administration and business functions of the Orchestra, including arrangements for rehearsals and performances, coordination of resources related to each concert - both on-stage and front of house, managing the orchestra’s part-time librarian (who in turn is responsible for procurement, distribution, collection and storage of music and the orchestra’s library of parts and scores), overseeing the orchestra’s part-time bookkeeper and supporting the Orchestra’s executive team, marketing and development activities and Music Director.

**JOB DUTIES AND RESPONSIBILITIES**

**Rehearsals & Performances**:

- Set rehearsal & concert dates, in consultation with the Music Director and Board of Directors.
- Manage relationships with performance venues and negotiate and secure rehearsal and concert venue contracts.
- Oversee implementation of Health and Safety Protocol requirements at rehearsals and performances.
- Arrange for necessary technical and/or equipment needs for orchestra (e.g., piano tuning) and with concert venue for rehearsals and concert events.
- Prepare & distribute to orchestra members/guest artists: rehearsal and concert dates schedules; each concert cycle rehearsal schedule (in consultation with Music Director), production details.
- Coordinate with principals/section leads and Music Director to ensure adequate personnel for each concert cycle. Track attendance at rehearsals/concerts of orchestra members/extra musicians.
- Arrange performance agreements between CBSO and guest artists (based on the budget approved by the Board of Directors).
- Produce concert programs for each concert event. Prepare concert program content, including guest artists' biographies/photos, orchestra members list, programming, advertisements, donors/sponsors/grant acknowledgements.
- Organize and/or facilitate concert night receptions, fundraising activities, etc.
- Organize and train volunteers for front-of-house duties (e.g., "will call", ushering, receptions etc.) at concert events.

**Box Office**: (directly or by overseeing box office personnel)
- Set-up and maintain online box office ticketing program (Tixhub) each season, and maintain subscriber/patron database.
- Manage Box Office functions at concert events, including ticket sales, "will call", etc.
- Maintain accurate cash/credit card sales accounts.
- Provide regular reports on box office activities and recommend pricing and opportunities to increase box office results

**Communications**:

- Support Audience/Community Development Coordinator in marketing, communication and development activities.
- Manage regular communications and information flow to orchestra members and guest musicians/artists
- Manage box-office-related communications to patrons, subscribers and guests

**Administrative**:

- Oversee bookkeeper, request payments, and oversee financial year-end.
- Oversee librarian (budgeting of music rentals/purchases/copies).
- Administer Health & Safety protocols, liaising with musicians, venues, and other stakeholders.
- Provide accurate information to the bookkeeper on monthly or per cycle payments to artistic (including Music Director, string principals, extra musicians, and guest artists) and administrative personnel.
- Maintain and ensure timely payments/renewals of operational expenses, such as music purchases/rentals, website hosting/domain, postal box, etc.
- Prepare annual operating budgets and forecasts, and maintain accurate reporting of revenues and expenditures throughout the season.
- Prepare and submit reports to Socan (Entandem).
- Maintain contact information for members, guest musicians, volunteers, patrons and donors.

**Location**:

- In-Person_ - Attend all concerts and (at least the first half of) all rehearsals. Rehearsals are typically from 7:15-10:15 on Monday evenings, from late Augus
