Employment Relations Specialist

Reporting to the Director, Employment Relations and Partnerships (ERP), the Employment Relations Specialist is responsible for providing support to employee and labour relations processes and initiatives, providing research expertise and materials, and collaborating with HR colleagues on other departmental projects as necessary. The Specialist is responsible for coordinating the labour relations grievance process (i.e. development and issuance of all grievance responses, managing grievance timelines and communications, leading grievance prep meetings), developing and coordinating the mechanisms for effective administration of grievance and arbitration processes, ensuring labour relations procedural requirements, performing labour relations research, as well as leading projects and developing HR practices, and procedures in support of various HR and ERP Services and objectives. The Specialist is also responsible for various administrative functions related to operational support of the Director and the ERP portfolio. This includes financial and budget support, fielding HR inquiries, liaising with internal and external contacts, scheduling, organizing and expediting workflow and meetings, and HR transactional administration, internal/external communications, information tracking/records management and coordinating various logistics and activities. Due to the confidential aspect of work, considerable discretion and judgement is required.
What You’ll be Doing
Ensuring compliance with the respective collective agreements (CAs), terms and conditions of employment and employment legislation;
Ensuring all required reports are provided to the union in support as required by the collective agreement, including seniority lists, new hires lists;
Calculating arbitration accruals in order to forecast future arbitration costs;
Calculating seniority adjustments as per the collective agreements;
Tracking probationary review and completion dates; communicates updates to employees, the union and HR Business Partner;
Leading and managing the labour relations grievance process by: developing, writing, and issuing all grievance responses, leading grievance prep meetings, and managing timelines and communications on behalf of department managers and/or the Director;
Monitoring grievance timelines and ensures all step meetings and grievances responses from management meet those timelines outlined in the applicable collective agreement;
Liaising with Sheridan managers to inform them of their collective agreement requirements related to the complaints and/or grievances from staff, coordinates meeting times and resources;
Providing a wide range of administrative support to the Director and related departments that have responsibility for HR client consulting, labour and employee relations, HR planning, talent acquisition, job evaluation, compensation management, pension/benefit services and HR Information Systems (HRIS);
Preparing a variety of correspondence such as letters, reports, offer/contract letters; reviewing and assessing communications, notifying the Director of any material requiring attention/action and resolving as appropriate; and coordinating meetings and events, including: logistics, agendas, documentation, and minutes;
Preparing and submitting purchase requisitions/invoices/expense claims on behalf of the Director and the department and ensures payment; approves within purchasing/signing limits;
Supporting Director and HR Services with HR metrics; coordinates, performs analyses and monitors trends;
Working collaboratively with department staff to coordinate project planning for HR projects and initiatives;
Performing other related duties as assigned.
