**Servus is growing** We are currently looking for an accomplished **Intermediate Executive Assistant** to support our Executive Leadership Team. This is an opportunity to expand your administrative skillsets in a fast-paced, growing environment at the c-suite level.

Reporting to the Manager, Office of the CEO and in collaboration with the Executive Leadership Support Team, you will ensure comprehensive administrative support is provided relating to meeting management, high level event coordination, internal/external business communications, expense processes, as well as organization of online internal filing systems. You will provide support as required for the Servus Board and the Executive Leadership Team to help contribute to transformational change.

**Key Responsibilities**:

- Daily administrative support to the Manager, Office of the CEO, as well as support to the Senior Executive Assistant to the Board of Directors and Executive Leadership Team as required.
- Support to Strategy and Governance meeting coordination and administrative functions
- Drafting meeting packages, minuting, maintaining organization of the SharePoint sites, applicable filing systems, and data entry
- Preparation of monthly expense claims on behalf of the President & CEO and Board for approval and processing, in addition to reconciliation of related invoices with Accounts Payable.
- Support coverage regarding calendar management for President & CEO as well as the Board and Executive Leadership Team members as required
- Coordinate registration for the Board and Executive Leadership Team in various high-level events throughout the year - supporting planning committees, as well as ensuring appropriate accommodations/travel and meeting space is secured
- Maintaining and distributing highly confidential business materials and communications using sound discretion and judgement
- Responding to internal and external inquiries regarding the Executive Leadership Team
- Tracking applicable administrative projects as well as compiling reports throughout the year in collaboration with the Manager, Office of the CEO
- Coordinating conference calls/video conferencing, and ordering catering for meetings
- Participation and coordination of team training events and social gatherings throughout the year

**What We're Looking For**:

- You've got a minimum of 5 years providing comprehensive administrative support to Senior Executive
- Post-secondary diploma or degree in business administration or related area is an asset
- You're a pro at Office 365 apps and you enjoy taking initiative to find administrative efficiencies
- You are proactive to collaborate with teams and view this as a learning opportunity to gain diverse perspectives and better understand the approach to project work
- You put business communications together with ease and tactfulness
- Organization is your strong suit, and you can address tasks at high volume, while also paying close attention to detail
- You're interested in learning more about Servus and the Credit Union system or you're already familiar with the CU system (having worked in the industry would be an asset)
