**JOB DESCRIPTION - Administrative Assistant**

**Hours**: 28-35 hours per week
**Reports to**: Executive Director
**Wages**: $44,208 - $47,320 (pro-rated to length of work week)

**The Administrative Assistant** works closely with the Executive Director (ED) and Program Manager and works regularly with other office staff. The Administrative Assistant is responsible for organizational, and communication-related items. They have the capacity to prioritize multiple tasks in alignment with the key drivers and contractual responsibilities of the organization. The Administrative Assistant is pro-active and applies critical thinking to maintain and create efficiencies with existing systems, such as filing and data management, including Society records.

**Duties and Responsibilities**:

- Support ED in preparation of Board of Directors, Committee and Annual General Meetings.
- Arrange and prepare materials for meetings: including coordinating participating members, travel, accommodation, agendas, briefings, and other relevant materials.
- In conjunction with management, support external communication of the organization through proofreading, preparing letters, invitations, cards, posters, and program information material.
- Maintain and update website and social media accounts.
- Facilitate hardware/software installations and updates, basic computer/printer troubleshooting, and accounts set up.
- In collaboration with program leads, maintain filing system for program statistics and data.
- Data entry and maintenance of central filing system, digital and hardcopy, including HR files.
- Develop and maintain calendars for events, communications, annual reviews, and other ongoing organization activities.
- Finance support through maintaining office petty cash, completing bank deposits, invoice creation, record keeping and communication with the ED and Director of Finance to track accounts payable and receivable.
- Track, inventory, and order office supplies and stationery as needed.
- Regularly review and update administrative processes and practices.
- Other office duties as required.

**Experience, Skills and Qualifications**:

- Minimum two years of related experience.
- Education and training in office administration.
- Proficient in Microsoft Office Suite, including SharePoint.
- Competency with Word Press, social media platforms, and digital creation tools such as Canva.
- Basic technology skills, i.e., office equipment and computers.
- Highly organized and reliable, with excellent communication skills.
- Familiarity with mental health and community resources is an asset.

Mental Health Recovery Partners South Island staff work as a collaborative team of staff (including Peer Supporters with lived/living experience of mental health and/or substance use challenges, Counsellors specializing in helping those with mental health and/or substance use concerns in a recovery-oriented way, and also volunteers.

**Salary**: $44,208.00-$47,320.00 per year
