**Role Overview**
**Responsibilities**:
**Operations**.
- Develop, implement and review operational policies and procedures.
- Help promote a company culture that encourages top performance and high morale.
- Manage, maintain, develop and review budgeting, reporting, planning, and auditing.
- Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.
- Identify and address problems and opportunities for the company.
- Build alliances and partnerships with other organizations.
- Support worker communication with the management team
**Administrative**
- Ensure the premises is ready for new occupants
- Maintain all statutory required records
- Ensure compliance with relevant laws and regulations
- Enforce terms of rental agreements
- Prepare comprehensive monthly reporting for owners and executive team on all project and tenant matters;
- Awareness & tracking of lease maturities, renewals and changes to site or existing tenant’s leases which would create value;
- Generate work orders and ensure timely completion and cost tracking
- Rent Roll Preparation
- Data entry and tracking
**Financial**
- Prepare and distribute monthly statements
- Rent Collection and processing
- Ensure timely payments and collections
- Minimize rental arrears
- Coordinate default proceedings
- Schedule expenditures
- Check and process property related invoices and match with purchase orders, contracts for payment
- Prepare annual budgets
- Keep accurate and up-to-date financial records
- Experience with MPAC reports
- Ensure proper coding is noted on budgets, purchase orders, invoices, contracts for TMI
- Generate Purchase orders for work as required
- Create breakdown for accounting as required, rent rolls, AR/AP reports, TMI and other financial reporting
- Prepare Amortization breakdowns
- Complete year end TMI reconciliations
- Responsible for property budgeting (operating capital), operations cash management, and month-end vacancy analysis and updating rent roll;
**Tenant relations**
- Orient new tenants to the property and Oversee tenant move in’s
- Investigate and resolve site complaints and concerns
- Enforce occupancy policies and procedures
- Maintain timely communications with tenants
- Developing and Maintain Tenant Relationships / Customer Satisfaction;
- Assisting with responding to tenant queries to ensure a full resolution;
- Ensure all chargebacks are quoted and approved by the tenant prior to proceeding with the work
- Respond to tenant complaints, concerns and emergencies
- Ensure all tenant & building files are maintained.
- Ensure communications, letters, and notices are sent out to the tenants
- Create, manage and develop a Welcome Package and ensure all tenants receive a copy
- Inspect Tenant move outs, inspection unit for restoration, oversee Tenant repairs of restoration items
**Maintenance**
- Monitor and ensure completion of maintenance and repairs timeously and cost
- effectively
- Perform routine building inspections. Complete monthly inspection checklist and prepare inspection reports
- Ensure security of premises and maintenance of security devices
- Implement preventative maintenance programs
- Oversee capital improvement or repairs projects
- Manage outside vendors on site
- Inspect properties to ensure proper snow removal and landscaping
- Address all maintenance/construction issues
- Handle all security company calls/issue’s
- Send out all construction notices to tenant’s
- Construction supervision and liaise with contractors
- Oversee janitorial contracts at all required properties
- Obtain quotes for various repairs and/or renovations
- Ensuring contractor obligations are outlined within contracts and are maintained.
- Complete inspections to confirm all work was completed satisfactorily
- Create and maintain the maintenance schedule for all properties
- Request waste bins as required
- Order supplies for the sites as required
- Prepare a building audit for all sites
