DesignAgency is currently looking for a Proposal Coordinator assist with the administration and coordination of new business inquiries (RFQs/RFPs). The Proposal Coordinator works with the Business Development (BD) team to strategize responses, contract development and present our service offerings to prospective clients across various fields. Reporting to the Global Business Development Manager, the successful applicant is a creative go-getter with strong technical, organizational, and prioritization skills, and thrives working within tight timelines. This position can be based out of our Canadian or American studios.
**Roles & Responsibilities**
- Updating and creating client-facing proposals and marketing collateral such as portfolios, digital lookbooks, comprehensive proposals, staff CVs, and pitch presentations
- Assisting with the collection and tracking of companywide BD including tracking new business leads and analytics, and maintaining the CRM
- Designing new and customizing existing InDesign templates and documents, ensuring accuracy and consistency
- Working collaboratively throughout the RFP process with the BD Team, editing copy and content, curating final project photography and graphics, and implementing comments and feedback to meet internal as well as client deadlines
- Supporting BD with copywriting and proofreading
- Maintaining a digital filing system for all collateral related to pitches, proposals, and contracts and providing administrative support
- Assisting BD with new projects and initiatives
- Participating in meetings with the Sales & Marketing Team (Demand Team), providing creative insight and highlighting opportunities for collaboration and efficiency
- Balancing workload and meeting deadlines without compromising work quality
**Qualifications**
- One to three years of experience in proposal writing, business development, marketing and promotion; preferably within the Design/Architecture field
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related field
- Advanced knowledge of Adobe InDesign, Microsoft Word & Excel
- Expertise in building client-facing presentation decks
- Knowledge of, and interest in, hotel and hospitality interior design, brand identity design
- Detail-orientated, organized, and self-motivated
- Hands-on team player with a proven track record of supporting and working with creative teams
- Excellent English language written, verbal and comprehension skills
- Self-motivated and able to work within tight timelines and manage multiple projects or deliverables.
