**Position Purpose and Summary**

The Athletics Business Coordinator helps manage team travel and completes of a variety of tasks and projects related to the effective administration, organization, and operation of the Spartan Athletics Department.

**Key Areas of Accountability**

**1. Project Management**
- Manage various projects and parts of projects for the Director of Athletics (AD). Ensure the AD is updated on project developments.
- Initiate, prioritize, and determine the appropriate course of action, referral or response on matters identified by the AD.
- Complete research and provide professional reports as needed.
- Coordinate specific events, i.e. promotional events, trips (includes arranging for catering, invitation list, budget control).
- Manage major project task flow including coordinating scheduled staff meetings.

**2. Administrative Assistance**
- Provide superior, confidential, executive administrative services for the AD.
- Provide administrative support for major projects of the Spartan Athletics office, including meeting coordination, record keeping, correspondence, research etc.
- Manage routine office functions such as arranging meeting space and other appointment requirements; maintaining a readily accessible, accurate, updated database and filing system.

**3. Budget Management**
- Assist the AD in the preparation of annual department budget submissions; monitor monthly expenditures and revenues; maintain appropriate supplies as required; submit expense receipts, invoices etc. for reimbursement for all budget areas as required.
- Provide support to coaches with budget planning and tracking.

**4. Communication**
- In addition to the communications responsibilities listed above, may draft communication documents for external audiences and/or communicate directly with external and internal people on behalf of the Director of Athletics as required.
- Represent the Director of Athletics and/or athletics department in appropriate meetings as directed.

**5. Other**
- Work collaboratively with others in Spartan Athletics, as well as other TWU departments; contribute to forward planning discussions and assist with the execution of plans and programs.
- Perform other duties as assigned by the Director of Athletics. Work cooperatively and independently as required.

- Demonstrated problem-solving, analytical, and project planning skills.
- A motivated, efficient self-starter with highly developed interpersonal skills who communicates positively with a variety of internal and external contacts, including a wide range of personalities, positions, and nationalities.
- Accurate word processing skill with superior grammatical and spelling skills. Skilled in the full range of MS Office software products particularly Word, Excel and PowerPoint.
- Demonstrated ability to work in a busy and challenging post-secondary environment.
- Professional office management ability to ensure smooth workflow in executive offices.
- A strategic planner with proven ability to work independently and confidently in a busy and challenging post-secondary environment with diligence, timeliness, trustworthiness, wisdom, and discretion.
- Understanding of and ability to use social media.

**Standards & Requirements**

**Education**:BA required or equivalent, with related secretarial training required. Working knowledge of academic terminology and programs preferred.

**Experience**:5 years’ experience providing executive level support, preferably in larger, more complex enterprises. Post-secondary institution experience preferred. Experience in managing project that involve a variety of stakeholders.
