**Executive Assistant to CEO**

**Job Summary**:
The Malick Media Group is actively looking for an experienced and pro-active Executive Assistant to work with our CEO. The Malick Media Group of companies include both for-profit and non-profit companies, including a church.

**Location**: Langley, BC

**Position**: Executive Assistant to the CEO

**Hours**: Full-time (Monday to Friday) with flexibility to work evenings and weekends as needed.

**Salary**:Commensurate with experience

**Responsibilities**:
**Strategic Support**: Collaborate closely with the CEO and executive team to help define and execute company strategies. Assist in preparing reports, presentations, and other materials for strategic decision-making.

**Calendar and Schedule Management**: Manage complex calendars, including scheduling and coordinating meetings, appointments, and events. Prioritize conflicting requests and ensure executives are well-prepared for all engagements.

**Meeting Facilitation**: Plan, organize, and facilitate executive meetings, including creating agendas, documenting meeting minutes, and following up on action items.

**Project Management**: Assist in coordinating and managing special projects across different departments, tracking progress, and ensuring deadlines are met.

**Confidentiality and Discretion**: Handle sensitive information with the utmost confidentiality and discretion, maintaining the highest level of professionalism and integrity.

**Travel Arrangements**: Arrange complex travel itineraries, accommodations, and logistics for executives, considering time zones and potential changes in plans.

**Financial Support**: Assist in budget tracking, expense reporting, and other financial management tasks as needed.

**Human resources**: Assist in recruiting and onboarding new talent. Coordinate professional training and development

**Cross-Functional Collaboration**: Liaise with different departments and teams to foster effective communication and collaboration within the organization.

**Executive Support**: Provide personal support to CEO as necessary, including personal appointments and commitments.

**Office Management**: Oversee administrative tasks and office operations to maintain an efficient and organized work environment.

**Qualifications**:
Bachelor's degree in Business Administration, Management, or a related field preferred.
5+ years of proven experience as an Executive Assistant, or similar role supporting C-level executives.

Experience in any of these industries would be considered extremely advantageous:

- Film industry (specific emphasis on sales)
- online marketing
- online education
- book publishing industry
- event management

**Skills and Knowledge**:

- Strong business acumen with ability to make decisions, manage time effectively and keep organized with conflicting priorities.
- Proven organizational and project management skills, with the ability to prioritize tasks, execute efficiently and meet deadlines.
- Excellent communication skills (written and oral)
- Exceptional interpersonal abilities, with the capacity to build relationships with internal and external stakeholders.
- Strong public relations experience is an asset.
- Attention to fine detail and problem-solving skills.
- Proficiency in Microsoft Office and online collaboration tools eg Zoom.
- Proficiency in these CRM platforms would be considered an advantage: Elevanto, Basecamp, Kajabi, Planning Center
- Proven copywriting and proof reading skills

**Additional Requirements**:

- Satisfactory Criminal Record Clearance.
- A valid B.C. Driver's License (Class 5 or Class 7)
- Use of Personal Vehicle. The position requires travel in the Lower Mainland and the Fraser Valley.
- Documentation that the applicant is legally approved to work in Canada.

**Salary**: $49,000.00-$85,000.00 per year

Ability to commute/relocate:

- Langley, BC: reliably commute or plan to relocate before starting work (required)
