Job Summary

Reporting to the Director, Student Services, the Multi-Session Program Manager is responsible for the implementation, ongoing development and administration of policies, procedures and practices related to Multi-Session BEd/DipEd programs at the Faculty of Education. This includes documentation and process mapping, staffing, student recruitment activities, admission assessment, timetabling, registration processes, enrolment, tracking student progress, budget management, and reporting.

This position requires sound judgment and a high level of discretion when dealing with sensitive issues. A key component of this role is to manage multiple programs that are delivered across the province to ensure consistency in program delivery, administration, and planning.

**Job Description**:

KEY RESPONSIBILITIES:

Manage the operation of the Multi-Session Programs through assessment, development and/or modification of policies and procedures to streamline processes; this involves planning, coordinating, and monitoring all aspects of operations and progress in order to increase efficiency and effectiveness, identify and recommend improvements, and manage or assist with the implementation of approved changes that correspond to the vison and direction of the Faculty.
- Serve as the Multi-Session contact and liaison, demonstrating broad knowledge of the different operations, policies, and procedures of the university. Interact with administrators, managers, equity officers, and financial and HR personnel.
- Manage the preparation of employment contracts for casual employees, Adjuncts, Postdoctoral Fellows, Visiting Scholars, Writers-in-Residence, Teaching Fellows, Teaching Assistants, Graduate Research Fellows, Graduate and Undergraduate Research Assistants, and Work Study students.
- In consultation with the Associate Dean, Teacher Education and the Director, assist with the development and lead implementation of short and long-term strategic plans for the operations of the programs and policies for Multi-Session programs.
- Supports the data requirement and budget needs of the Multi-Session programs by creating appropriate queries and utilizing the resulting data to produce spreadsheets and reports for presentation and reporting to management and funders.
- Identifies issues, plans, and implements changes to administrative processes to ensure organizational effectiveness.
- Assists team members to find effective solutions to issues that arise and documenting best practices.
- Facilitates instructor and staff compliance with mandatory training requirements.
- Responds to inquiries and provides advice on instructor staffing and administrative processes, including collective agreement and policy interpretation and recruitment processes.
- Maintains a strong working knowledge and understanding of University and Faculty policies that influence or impact staffing decisions and arrangements.
- Advises on best practices for onboarding new hires and supports coordinators with onboarding process.
- Leads the development of standardized operating procedures for reoccurring staffing processes, guides, manuals, and resources.
- Analyzes and evaluates current practices, identifies, and recommends areas of opportunity to streamline internal procedures for process efficiencies, enhanced reporting, and strengthened internal controls and record keeping. Supports the implementation of new systems, tools, and processes.
- Updates and maintains databases and coordinates timetabling and enrolment for Multi-Session programs.
- Through liaison with Mult-Session coordinators, ensures students are provided with up-to-date and relevant information pertaining to registration and enrolment.
- Supports academic and career advisors on various academic advising duties, including during the admissions cycle.
- Identifies and prioritizes reporting requirements, timely communication, and ensures clarity of processes to achieve goals and targets.
- Annually reviews and updates the Multi-Session section of the Academic Programs Chapter in the Academic Calendar to ensure accuracy and consistency.
- Ensures all work plans and program objectives are successfully met and creates reports on progress for funders and other stakeholders.
- Supports Multi-Session coordinators on marketing activities to ensure service standards are met and ensure clarity and consistency across all Multi-Session programs.
- Assist the Director through recommendations for administration and budget preparation
