- Schedules and books a variety of outpatient appointments by receiving appointment requests or referrals, making follow up appointments, adjusting arrangements as directed in accordance with patient and facility requirements and assigning to the appropriate time, date and location. Arranges patient diagnostic tests. Maintains appointment calendars by arranging and confirming appointments. Prepares and distributes clinic appointment schedules.
- Receives patient upon arrival to the clinic and obtains/confirms information required to register the patient; registers patient in the computerized admission/discharge/transfer system and completes related registration documentation. Monitors electronic status board for patient kiosk express check in. Prepares and escorts patients to exam rooms within the clinic.
- Assembles and maintains patient charts; inputs patient data and information into relevant systems, charts or electronic health record systems. Attaches documents to charts such as laboratory and special examination reports; files charts and forwards to Health Records as required.
- Takes and/or records patient vital signs such as weight, temperature, pulse, respiration by methods such as electronic scale, ear thermometer, or multi-functional blood pressure cuff and records on patient chart as required.
- Collects specimens and/or performs routine lab tests such as urine tests for protein and/or glucose by procedures such as using colour coded dip sticks.
- Telephones and/or transmits test results and other medical information to patients, physicians and others according to established procedures.
- Prioritizes, processes, coordinates and transcribes physicians'' orders such as requests for x-rays, MRI/CT scans, ultrasounds, and blood work, by performing duties such as completing requisitions and liaising with the appropriate clinic, unit or department to make arrangements in accordance with established procedures.
- Prepares and processes manual or computerized medical billings for outpatient services. Receives, records and accounts for a variety of payments for client/patient direct billings and/or submits charges to Finance in accordance with established policies and procedures. Follows up on discrepancies as required; refers complex problems to the Manager.
- Types a variety of technical and non-technical documents such as correspondence, medical reports, minutes of meetings, medical billings, statements and reports from written form, drafts; composes routine correspondence for signature.
- Performs receptionist duties; answers the telephone; takes and transmits messages; greets and directs visitors and patients to appropriate locations for appointments. Informs appropriate clinic, physician and/or other health care professional of patient arrival.
- Maintains timekeeping records for designated staff as directed; forwards to appropriate personnel for approval.
- Maintains adequate inventory of office supplies by preparing requisitions for signature. Maintains examination rooms. Assembles and sends for cleaning equipment used during examinations according to established procedures.
- Processes incoming and outgoing mail, faxes, reports/records, couriered documents by performing duties such as receiving, recording, date stamping, sorting and distributing mail and preparing outgoing mail for pick up. Signs for receipt of packages and shipments.
