**About Us**

The Nova Scotia Education Common Service Bureau (NSECSB) was established in 2018 to work in partnership with the Regional Centres for Education and the Conseil scolaire acadien provincial by providing common services to support the administration and operations of the provincial education system. The NSECSB is involved in a variety of projects and initiatives that are provincial in nature, and is responsible for School Sport Nova Scotia and the administration of both the NSECSB Pension Plan and

Group Benefit Plan for non-teaching employees.

**About Our Opportunity**

The NSECSB is hiring a Finance and Administration Clerk to provide financial and administrative support services and to act as the primary contact for the office. This is a permanent, full-time position located within the NSECSB office in Dartmouth, Nova Scotia. This is not a remote position.

**Responsibilities**:

- **Financial Duties**_
- Downloading invoices, statements and filing electronically and hard copy.
- Printing and scanning payments, invoices, cheques to the correct folder and file.
- Processing manual cheque requests as required.
- Reviewing invoices and expense claims for accuracy and completeness.
- Retrieving and compiling invoices and deposit information for reconciliation processes.
- Bank & VISA records gathering for reconciliation.
- Preparing, compiling and preparing bank deposits, recording and filing back up for EFT deposits.
- Invoice-payment matching and invoice-revenue matching.
- Preparing invoices for rent, School Sport, and expense recoveries.
- Preparing and filing of hard copy file for all electronic files.
- Following up on outstanding invoices and payments.
- Preparing envelopes and mailing out cheque payments.
- Following up on payment inquiries regarding status.
- Preparing journal entries.
- Posting & reconciling journal entries in Quick Books Online.
- Performing other related financial duties as required.
- **Administrative Duties**_
- Responsible for answering the telephone and greeting and directing visitors of the NSECSB.
- Providing administrative support for meetings logistics, drafting agendas for review, taking meeting notes and minutes accurately, distributing and managing correspondence.
- Responsible for tracking and ordering office materials and supplies.
- Responsible for setting up video conference and teleconference meetings.
- Responsible for contacting and for being the point of contact for IT support.
- Maintaining and updating an effective filing system, both electronic and hard copy including manuals, agreements, contracts and reference materials.
- Proofreading reports and office correspondence.
- Assisting with event material and organization.
- Assisting with logistics for events.
- Maintaining office databases and website.
- Assisting other NSECSB staff, as necessary.
- Performing other related administrative duties as required.

**Working Conditions**
- Normal work week is 35 hours/week, 7 hours/day, 8:30 - 4:30 with a one-hour unpaid lunch break.

**Qualifications**:
Outlook, Word and PowerPoint with advanced skills using Excel.

You possess excellent grammar, proofreading, and communication skills, as well as demonstrate proficiency in the using web-based sharing software such as Microsoft Teams.

You have strong interpersonal skills and are able to work effectively in a team environment.

You will perform the majority of your duties with limited supervision and, therefore, must have strong initiative and good judgement while planning work according to priorities and deadlines, and an understanding of where to direct calls and inquires.

Organization and time management skills are essential to this role. You must readily accept responsibilities, establish effective working relationships, and effectively handle matters with discretion, confidentiality, tact and diplomacy. You will be receptive to new ideas and willing to try new methods and approaches as the work of the NSECSB evolves.

The following would be viewed as assets: bilingualism (French and English), the ability to scrutinize and reconcile financial information and to detect and resolve discrepancies, experience in cash handling, and experience/familiarity with Quick Books Online.
