_**ADMINISTRATIVE & ACCOUNTING ASSISTANT**_
**The Role’s Responsibilities**:
- Report to the Manager of Finance and Payroll.
- Process invoices, receipts and payments accurately and in a timely manner.
- Conduct data entry tasks and maintain databases with financial information.
- Assist in reconciling accounts and resolving discrepancies.
- Provide administrative support.
- Daily AP/AR processing.
- Collaborate with team members to ensure smooth operations within the department.
- Accounting and administration activities for the organizations overall;
- Create, maintain and implement reoccurring working relationships with both internal and external resources;
- Create, update and maintain project information in the accounting records;
- Process and update client billing;
- Work with third parties and other contractors to maintain requests, receipts, tracking, costing and other administrative items for third-party sub-contractors;
- Create and update reports on a weekly basis;
- Support Executive Management as required;
- Proof-read documentation as required;
- Bank deposits;
- Employee Expense processing into accounting database;
- Other administrative and accounting tasks;
- Other activities as required.
**Specific Requirements of the position**:
- Strong problem-solving and troubleshooting skills;
- Strong attention to detail;
- Excellent communication skills to liaise with team, clients and management;
- The ability to deal with multiple tasks and conflicting deadlines;
- Showing initiative and supporting a positive work environment;
- Proficient in working in G-suite, Microsoft Office, Word Processing, cloud databases and tracking tools;
- Able to create pivot tables, charts, graphs and other detailed summaries within various spreadsheets and Microsoft office type programs;
- Valid Drivers' License;
- Strict confidentiality and privacy.
**Preferred Skills**
- 2-4 years of experience in the accounting field
- Advanced Excel Skills
- Analytical mindset
- Good understanding of accounting procedures
**The Location**
Planview Utility Services has 3 offices - Markham, London and Ottawa. Our clients and their projects are based thought the province. The reporting office for this position is either Markham or London, Ontario and your work will be based out of either of these 2 offices.
