Under the direction of the Manager, CEPD, the CEPD Coordinator is responsible for coordinating the planning of educational programs and services offered by the NOSM University Continuing Education and Professional Development office (CEPD). The Coordinator tracks major projects, programs, and participants utilizing the Continuing Medical Education (CME) data management software.

This position is covered by the Terms and Conditions of the OPSEU Unit 677 Collective Agreement (Unit 2). A copy is available on the NOSM University website.

**Responsibilities**:

- Maintains administrative workflow by following processes, coordinating tasks within the process and continuing the workflow to completion.
- Resolves administrative problems by analyzing information; identifying and communicating solutions to stakeholders.
- Maintains rapport with external stakeholders, managers, and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations.
- Stores and updates Unit databases with relevant information.
- Provides information by answering questions and requests to stakeholders.
- Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
- Accomplishes Unit and organization mission by creating reports and communicating back to stakeholders the results.
- Provide direction, support and guidance to the content experts that make up PPCs; counsel committee members when making strategic decisions about programming; gather and analyze needs assessment material; collaborate with the committee chair to ensure that the committee has all resources required to make sound decisions about future programming and allocation of resources; act as the driving force to ensure that decisions are made well in advance so that appropriate logistics can be implemented to ensure programs have ample time for advertising and accreditation; create and distribute requests for funding from industry in accordance with accreditation standards.
- Assess the effectiveness of previous programs (by collecting and analyzing the data of previous sessions); recommend and implement adjustments to current educational practices to ensure the continuing education; research best practices in adult education, continuing education and alternative models for continuing education.
- Coordinate all aspects of the registration process; registration site, communicating with participants, and updating relevant databases.
- Ensure all aspects of the program are coordinated and complete; arrange technical support; secure and book venues; liaise with speakers to collect logístical and accreditation documentation; negotiate financial compensation with potential speakers; book OTN sites and manage logistics; moderate sessions by monitoring interactivity; ensure compliance and process compensation for speakers and venue.
- Create brochures and posters using Adobe InDesign and maintaining the CEPD website. Must ensure all information is relevant, up to date, approved for public viewing, meets accreditation standards for advertising, and follows CEPDs branding.
- Collect data and prepare and circulate reports with recommendations.
- Perform other duties as required.

**Qualifications**:
**Education**:

- Requires completion of a University degree from a recognized and accredited Canadian university, or an equivalent combination of education and experience is required. The following disciplines are preferred: Education, Health Care, or Business Administration.

**Knowledge, Skills and Abilities**:

- Minimum of 1 year of position related experience required.
- A thorough understanding of CACME standards, RCPSC and CFPC Guidelines, CMA (Canadian Medical Association) Guidelines regarding Conflict of Interest
- Experience working with other software programs with formatting/utility capabilities of word processing (i.e. Microsoft Excel, Word) and with NOSM U’s custom programs
- Proven experience in coordinating various tasks under tight deadlines
- An understanding of Aboriginal and Francophone communities and their needs as it relates to medical education
- Computer systems and software such as Windows, Databases, Internet and E-mail
- The ability to communicate effectively and to express oneself clearly verbally, and in writing, and uses a variety of media
- Work within established organizational practices, protocols and policies

**Language**:

- Must be able to communicate effectively in English (verbally, written and comprehension)
- French/Indigenous language skills would be considered asset
- Extended periods of sitting
- Interaction with employees, management, and external stakeholders
- Working in a busy office and/or virutal environment with frequent interruptions
- Occasional overtime and travel
