Global Relay is seeking an experienced Administration Manager, to lead, inspire, and empower our dedicated team of administrative professionals. Reporting to the VP of Human Resources, and working in collaboration with the Office Manager, you will ensure the seamless operations of our 60,000 square foot Gastown office, a vital hub for our global business.

As manager of the Administration team, you will be at the forefront of driving operational excellence, maintaining office efficiency, ensuring compliance with onsite security protocols, and overseeing the management of office supplies, equipment, and vendor relations. This is a pivotal role where you can make a significant impact on the success of our organization.

- This position is fully onsite at our Gastown office and may require occasional work on statutory holidays._

**Your responsibilities**:

- Leading and managing the Vancouver Administrative team, including the delegation of tasks, and ensuring the timely completion and quality of projects
- Conducting performance evaluations for team members, including goal setting, professional development, and role progression, while mentoring and guiding their professional and technical growth
- Providing continuous feedback, addressing performance issues, and recognizing the strengths and contributions of team members
- Overseeing daily operational aspects of the team, including workload management and shift planning
- Leading the recruitment process for the administration team, including resume screening and conducting interviews
- Managing leave requests and absences, ensuring adequate team coverage throughout the year, including on statutory holidays
- Fostering a culture of high performance, professionalism, collaboration, and continuous improvement within the team
- Organizing and leading regular team meetings to review updates, progress, and address any challenges
- Conducting office and safety orientations for new hires at Global Relay
- Collaborating with the Culinary team and building maintenance staff to coordinate supply deliveries
- Serving as the liaison with the building manager in the absence of the Office Manager
- Providing backup support for all administrative duties and responsibilities as needed
- Assisting with the planning and execution of the annual holiday party and other company events as required

**About you**:

- 7+ years of recent relevant experience in office management and leadership roles, preferably in a fast-paced, dynamic environment
- Exceptional attention to detail and the ability to manage multiple priorities effectively
- Strong problem-solving skills with the ability to work independently with mínimal supervision
- Excellent verbal and written communication skills
- Proven ability to build and maintain effective working relationships with colleagues and stakeholders
- Demonstrated ability to prioritize tasks and manage time effectively
- Discretion and confidentiality in handling sensitive information
- Proficiency in calendar management and project management
- Experience in planning and coordinating domestic and international travel arrangements
- Strong organizational skills with a thorough understanding of MS Office Suite, including Outlook, Word, Excel, and PowerPoint
- Familiarity with CRM systems such as Salesforce is an asset
