Position**:Operations Manager - Buildings**
**Direct Report To**:
- Vice President of Operations, Property Management **of Condor Properties**
**Role**:
- Oversee and manage the Property Maintenance Representatives assigned as direct reports. Includes managing, coaching and developing each of the staff members.
- Oversee and manage the Property Maintenance Coordinator(s) assigned as a shared report(s). Includes managing, coaching and developing each of the staff members.
- Facilitate the annual performance management process for assigned Property Maintenance Representatives and Property Maintenance Coordinator(s) following the approved corporate process and using approved templates.
- Oversee and manage procurement processes for products and services related to Maintenance activities for assigned property portfolio. Follow the approved corporate flow for approvals and payment.
- Oversee and manage contractor procurement practices initiated and managed by Property Maintenance team related to assigned property portfolio.
- Attend site on a frequent basis to ensure properties are safely and aesthetically maintained and Tenant needs are addressed.
- Responsible for the implementation, maintenance and review of the components of the Corporate’s Health & Safety Program that are applicable to the operations and maintenance functions.
- Ensure the following tasks are completed by the Property Maintenance Team:
- Regular and periodic maintenance and inspections of all common areas are performed
- periodic inspection of vacant units
- properties maintained a high level of curb appeal
- Maintain property appearance and ensure repairs are noted and completed on a timely basis. This requires regular property inspections and visits.
- all base building systems and components are monitored and maintained as required.
- all service requests are recorded, communicated, and completed to appropriate standards.
- Develop and maintain a training matrix for direct reports.
- Ensure the following tasks are completed by the Property Maintenance Contractors:
- Snow and ice clearing
- Litter pickup and waste receptacle management
- Bulk waste management
- Summer rotary and planting management
- Spring clean-up activities
- Fall clean up
- Seasonal décor
- Efficient, cost effective and high-quality PM’s, repairs and replacements of base building systems and components (including but not limited to HVAC, sewers, fire alarms, sprinklers, plumbing etc.)
- Manage process to complete annual unit inspections. Work with tenants to ensure all non-conformances are resolved in a timely manner.
- Ensure all physical assets are mapped in Property Management Software (PMS).
- Ensure all maintenance activities and inspections are inputted and tracked in PMS.
- Develop and maintain industry standard inspections and preventive maintenance program for all building systems/equipment/components including but not limited to mechanical, electrical, building envelope, and plumbing.
- Develop and maintain a Building Condition Assessment Summary report for all properties.
- Lead the annual operating budgets’ development, tracking and variance reporting. Investigate cost saving measures where practical and possible.
- Ongoing collaboration with other Operations Managers to ensure consistency and communication on practices, processes and events across the department. Including development and maintaining relevant sections of the Divisional process manual.
- Implement corporate emergency response plans.
- Ongoing collaboration with other supporting departments to ensure deliverables around leasing, accounting, construction turnover and Tenant Management are completed seamlessly with all parties involved and informed as required.
- Collaborate with Management team on strategic plan for the Maintenance Operations department and Property Management Division as a whole.
- Manage move in and move out processes with existing and new tenants.
- Maintain property security systems including CCTV, access control and intrusion detection.
- Collaborate with Project Managers to ensure success of capital projects, renewal projects and Tenant Improvements/Landlord work for new leases and lease renewals.
- Support the assessment and troubleshooting of problems at properties
- Participate in the future planning for capital and renewal projects for the assigned properties.
- Following up and ensuring Customer Service tasks are completed in a timely manner and 100% customer satisfaction is attained
