Detailed Overview:
Performs a variety of secretarial, receptionist and clerical duties in a computerized environment such as word processing, greeting and directing clients/visitors, answering the telephone, responding to general inquiries and taking messages, arranging and taking minutes at meetings, obtaining and recording client referral information, completing client contracts, receiving, sorting and distributing mail, maintaining manual and computerized records, making travel arrangements setting up and maintaining a filing system, compiling statistical information, operating various office equipment, photocopying documents and maintaining a stock of office supplies.

**Responsibilities**:

- Performs word processing to produce a variety of technical and non-technical documents such as correspondence, memos, reports, agendas and minutes from draft, copy or general instruction.
- Performs receptionist duties such as receiving and directing clients/visitors, answering the telephone and taking messages or redirecting calls; provides general information regarding Acquired Brain Injury Services and resources available to the community.
- Arranges meetings, books meeting rooms and types and circulates notices and agendas; takes departmental minutes at meetings and distributes summaries to departmental staff.
- Assists with client intake by performing duties such as obtaining information from clients, completing documentation required for admission, and liaising with sources to obtain additional client information; schedules and confirms clients for programs and/or services and establishes and maintains waiting lists.
- Completes documents such as contracts, contract renewals, expenditure authorizations and letters of agreements; forwards documents for signature.
- Receives, sorts, distributes and sends incoming and outgoing mail, files, faxes and internal correspondence; signs for receipt of packages and shipments as necessary.
- Performs general record management duties such as assembling files and charts for a variety of documents/programs which includes contracts, manuals, correspondence and reports.
- Operates office equipment such as photocopiers, shredders, fax machines and carries out minor maintenance, such as loading paper, removing paper jams, cleaning glass and changing toner cartridges.
- Photocopies documents; maintains stock of office supplies in the work station area.
- Performs other related duties as required.

Qualifications:
**Education and Experience**

Grade 12, plus two (2) years' recent related experience or an equivalent combination of education, training and experience.

**Skills and Abilities**
- Ability to type at 50 w.p.m.
- Knowledge of medical terminology.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal effectively with others.
- Physical ability to perform the duties of the position.
- Ability to organize work.
- Ability to operate related equipment such as fax machines, shredders and photocopiers.
