**Administrative Assistant**

**About Us**

Oakdale Child & Family Service Inc. provides high-quality care and support for children and youth in group home settings. We are seeking a dedicated **Administrative Assistant** to support our operations by managing administrative tasks efficiently and ensuring smooth communication between various departments.

**Key Responsibilities**

**Office & Household Management**:

- Order and maintain office and household supplies.
- Oversee minor facility-related tasks and coordinate small maintenance needs.
- Report directly to Director and Managers
- Distribute documents accordingly

**File & Document Management**:

- Maintain, organize, and update files (physical and digital).
- Act as a point of contact between management, supervisors, head office, and other stakeholders.
- Ensure timely communication and follow-ups on administrative matters

**Document Review & Formatting**:

- Proofread and format documents for clarity, grammar, and accuracy.
- Ensure client documentation is accurate.

**Financial Administration**:

- Manage purchase orders, track expenses, and reconcile petty cash and Visa transactions.
- Ensure accuracy in financial documentation and maintain organized records.

**Billing & Reporting**:

- Assist in preparing billing reports to head office and submitting Special Needs Rate Agreements.

**Regulatory Compliance**:

- Obtain and maintain a Small Water Works Certificate (training provided).

**Qualifications & Skills**
- Post-secondary education in Business Administration, Office Management, or a related field preferred.
- 2+ years of administrative experience, preferably in a group home, healthcare, or social services setting.

**Technical Skills**:

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with petty cash and transaction records in an asset

**Organizational Skills**:

- Ability to manage multiple tasks, meet deadlines, and maintain attention to detail.

**Flexibility & Adaptability**:

- Comfortable working in a dynamic environment with shifting priorities.

**Job Types**: Full-time, Permanent

Pay: $19.50-$21.00 per hour

Expected hours: 40 per week

Work Location: In person
