**Job Overview**:
**Key Responsibilities**:
**1. Operations Support (Garbage Management Division)**:
- Track and manage daily operational activities including route scheduling, waste collection, and disposal monitoring.
- Collect data related to garbage pickup volumes, truck usage, maintenance schedules, and tonnage reports.
- Maintain up-to-date records of client transactions, including managing special billing rates, surcharges, and syncing with third-party systems like GFL Trux.
- Generate daily, weekly, and monthly operational reports for review by the operations manager.
- Support the digital cash register system and monitor the cash float to ensure proper financial handling at transfer sites.
**2. Operations Support (IT Division)**:
- Ensure smooth day-to-day operations by supporting the IT team in tracking infrastructure management tasks, using tools like Terraform, Ansible, and custom scripts for deployment.
- Help the IT team in monitoring and maintaining hosting services for AI models, and collecting data related to system performance and resource usage.
**3. Bookkeeping and Financial Analysis**:
- Perform daily bookkeeping activities including invoice generation, payment processing, and reconciliation.
- Manage invoicing automation systems, especially those connected with Airtable, to streamline the invoicing process for both divisions.
- Track expenses, payments, and financial performance for TES.efaci’s garbage and IT divisions.
- Assist in maintaining accurate financial records for audits and ensure compliance with industry-specific regulations.
- Assist with monthly and quarterly financial reporting, forecasting, and budget tracking for both divisions.
**4. Data Collection & Analysis**:
- Collect, organize, and analyze large data sets from both the garbage management and IT operations to provide actionable insights.
- Track and report key metrics like client transaction details, tonnage differences, site capacity, and overall operational efficiency.
- Work closely with the operations and IT teams to identify trends, create dashboards, and provide data-driven recommendations for process improvements.
- Regularly audit and validate data accuracy, especially when syncing data with external platforms like GFL Trux.
**5. Client and Internal Communication**:
- Provide administrative support, including answering client inquiries related to operational or financial matters.
- Coordinate between the garbage management and IT teams to ensure smooth collaboration on shared initiatives.
- Communicate clearly and professionally with external clients, vendors, and internal stakeholders.
**Job Requirements**:
- **Education**:
- Bachelor’s degree in Business Administration, Accounting, Data Analytics, or a related field.
- Relevant certifications in bookkeeping, accounting, or data analytics are a plus.
**Experience**:
- At least 2-3 years of experience in office administration, bookkeeping, or operational support roles.
- Experience working in a dual-sector environment (such as waste management and IT) is highly desirable.
- Familiarity with garbage management operations, including scheduling, billing, and data reporting systems.
- Strong knowledge of IT infrastructure management is a plus (Terraform, Ansible, CI/CD processes).
**Technical Skills**:
- Proficiency with bookkeeping software (e.g., QuickBooks, Xero) and familiarity with automated invoicing solutions (e.g., Airtable, AI agents).
- Advanced knowledge of Microsoft Excel or Google Sheets, with the ability to handle large datasets and perform detailed data analysis.
- Basic understanding of IT systems and web-based project management tools.
- Strong data collection, organization, and analytical skills using tools like Airtable, Excel, or proprietary systems.
