Markham, Canada Kinark Child & Family Services Full time

Reporting to the People and Culture System and Services Manager, the Admin - Filing Clerk position will be responsible for reconciling the filing backlog, creating new hire files, and updating and maintaining existing personnel files.

**File Clerk duties and responsibilities**:

- Create and maintain personnel files for new and existing employees
- Track and manage all the incoming electronic paperwork and print copies for filing and distribution
- Support document request
- Tracking and reporting on filing progress
- Manage file access requests and keep logs
- Maintain an efficient filing system
- Adhere to policies and procedures for personal data protection
- Monitor and manage inventory of files and supplies; report shortages and replenish as needed
- Perform audit of files and reconcile deficiencies

**Qualifications**:

- Requires completion of high school diploma
- Strong time management, organizational and analytical skills
- Demonstrated ability to fulfill responsibilities with a high regard for detail and accuracy
- Proficiency with Microsoft Office Suite, willingness, and ability to learn other software programs as required
- Excellent oral and written communication skills
- Ability to work in a fast-paced environment

**Kinark Child and Family Services conditions of employment include but are not limited to successful Criminal Record Check with Vulnerable Sector Screening, completed Pre-Employment Medical certificate, and proof of full vaccination against COVID-19.** Fully vaccinated is defined as having received all required doses of a World Health Organization Approved COVID-19 Vaccine at least one of which being approved for use in Canada and 14 days have passed since your last dose.
