**Title**

Freight Forwarder Administrator

**Reports to**

CFO

**Role**

Responsible for coordinating and preparing shipping documents according to processes in place, utilizing company ERP system; Demonstrate seamless processing of outgoing shipments as directed. Responsible for researching freight rates and arranging shipments between different locations, and tracking all the shipments from their pickup points, ensuring their delivery to the correct locations, as scheduled.

**Responsibilities**
- Coordinate with carriers and freight forwarders to schedule pick up of goods; Provide tracking and delivery information
- Negotiate best pricing with freight forwarders; Ensure each shipment generates the maximum contribution to the company by keeping constant focus on meeting the required service level at the lowest possible cost.
- Stay informed on market conditions, lead times, and shifts in pricing for services
- Maintain customer and contact database, as needed
- Prepare shipping documents including but not limited to, packing list, commercial invoices, installation instructions and shipping
- Assist factory shipping department to ensure for proper loading scheduling and requirements
- Communicate with internal and external customers on shipping schedule and product/shipping documentation.
- Confirm physical shipment of goods and facilitate tracking of packages
- Liaise with the Planning Department to review all orders and schedule shipping in the most efficient manner, as directed.
- Perform filing and clerical duties, as required
- Wear proper safety equipment and follow safe working practices
- Work is performed in a combination of environments

**Qualifications**
- 3-5 years experience working in a shipping focused role
- Demonstrated negotiation skills, Excellent written & verbal communications
- Demonstrated project coordination skills; well organized, attentive to details
- Demonstrated ability to multi-task, organize and prioritize work
- Must have strong problem-solving skills and the ability to think and respond quickly to sales & service issues
- Ability to work both as an individual and in a team environment
- Proven track record of personal responsibility and accountability
- Overtime as required
