Responsabilités
- Traiter et classer en temps opportun les documents relatifs aux emménagements et aux déménagements
- Répondre aux demandes des projets et des autres services concernant des informations contenues dans les dossiers de la clientèle
- Ressortir les dossiers pour lesquels un déménagement est prévu et faire la demande d'inspection
- Offrir son aide à l'équipe administrative pour les ajustements relatifs aux primes incitatives, au loyer et au registre, si nécessaire
- Actualiser au besoin le champ Commentaires du dossier de la personne résidente
- Classer les dossiers en cours et ceux à archiver
- Tenir à jour le système de classement informatisé et manuel
- Numériser les fichiers comptables et créer une base de données numériques
- Mettre à jour le système de contrôle de la location et vérifier que toute la documentation a bien été reçue des projets
- Préparer les dossiers archivés pour expédition
- Traiter les demandes de renseignements sur les dossiers des audits en interne et en externe et du centre de service à la clientèle
- Passer les commandes de fournitures, au besoin
- Réaliser d’autres tâches ou des projets spéciaux confiés par le ou la leader
- Remplacer au besoin à la réception pendant la pause-repas, les vacances et effectuer ce qui suit:
- Répondre aux appels entrants sur la ligne principale de la réception et les transférer aux personnes concernées
- Diagnostiquer et régler les problèmes ponctuels de fonctionnement de la réception
- Coordonner le courrier et la messagerie entrants et sortants
- Organiser et distribuer le courrier entrant
- Gérer les visites spontanées
Exigences en matière de formation et d'expérience
Expérience de travail dans un environnement administratif
Études postsecondaires et 2 années d’expérience en administration
Exigences techniques
Capacité d’apprendre et de s’adapter à différents systèmes informatiques et à toute nouvelle technologie
Exigences non techniques
- Excellentes compétences en organisation, planification et gestion du temps
- Capacité de travailler en mode autonome ainsi qu'en collaboration avec tout le personnel
- Aptitude à travailler sur divers projets en simultané et à les hiérarchiser
- Attitude positive, enthousiasme et confiance en soi
- Grandes habiletés en communication et aisance au téléphone
- Engagement à fournir un excellent service à la clientèle interne et externe
- Capacité de traiter l'information délicate et de maintenir la confidentialité en tout temps
