The Fire Clerk is responsible for performing fire department related administration functions for the Oliver Paipoonge Fire and Emergency Services. A full-service emergency response agency providing fire related functions such as fire prevention and education, fire inspection and suppression response, along with medical first response, motor vehicle extrication and responding to other emergencies that may occur within the Municipality. OPFES also responds to requests for Mutual Aid to neighboring fire departments. Responding out of 6 stations, with 19 responding apparatus the 40 plus members respond to an average of 300 to 500 calls per year. The fire clerk will also provide support to the Municipal Emergency Response program, assisting with the Municipal Emergency Response Plan, emergency response training exercises and related documentation for the entire program. When required the Fire Clerk also serves as a backup for other positions.

**DUTIES & RESPONSIBILITIES**:
**Specific**

1. Provides clerical assistance in the Fire Department in generating, collecting, processing and/or filing hall reports, incident reports, inspection reports, fire code orders, training schedules and records, truck and equipment maintenance records, insurance forms and claims, highway emergency response claim forms, correspondence and any other emergency response related documents.

2. Provides clerical assistance for the Municipal Emergency Response Program in generating, collecting, processing and/or filing emergency response plans and related information, training schedules and records, incident reports and annual compliance related documentation.

3. Prepares letters, mailings and meeting minutes for both the fire department and the municipal emergency response program. Copies public notices, training resources, etc.

4. Assists with the preparation of agendas, minutes, packages and resolutions for Fire Department meetings and Municipal Emergency Control Group.

5. Attends Fire Department and/or Municipal Emergency Control Group meetings when required and may record proceedings, including meetings of the fire officers.

6. Records service and training activity in software such as FirePro, Excel, etc.

7. Maintains assigned filing systems for the Fire Department and Municipal Emergency Control Group.

8. Assists in liaising with third parties on Fire Department matters.

9. Maintains assigned databases and manuals.

10. Performs miscellaneous job-related duties as assigned.

**General**

1. Performs a variety of general clerical duties, including telephone reception, mail distribution and other routine functions.

2. May serve as backup for other positions as necessary.

3. May take minutes at meetings.

4. Ensures confidentiality of work-related information.

**QUALIFICATIONS, KNOWLEDGE AND SKILLS**:
1. Experience in using a computerized system.

2. Knowledge of municipal administration

3. Ability to understand rules and explain to others

4. Ability to analyze and solve problems

5. Ability to deal with the public and other staff in a courteous and tactful manner

6. Good communication and computer skills, including database and website programs

**WORKING CONDITIONS**:
1. Generally works in an office environment

2. Occasionally some light physical activity

3. No or very limited exposure to physical risk
