- Dalhousie University’s Faculty of Science is a research-intensive faculty that thrives on inclusive research excellence, strategic partnerships, and stakeholder engagement. Reporting to the Dean, the Financial Assistant is responsible for supporting the financial operations of the Faculty, including reconciling monthly financial statements, processing financial documents, and preparing account analysis.**Key Responsibilities**
- Reconcile monthly financial statements for Dean’s Office accounts and follow up on discrepancies. Process invoices, prepare purchase requisitions, and track purchase orders.
- Prepare and approve Electronic Personnel Actions Forms (EPAFs) for the Dean’s Office, DISP and Science Atlantic. Maintain spreadsheets of hires and reconcile pay as required. Prepare Human Resources Payroll Forms as necessary. Act as Time Entry Approver.
- Act as a Chrome River Expense Management Reviewer for the unit and update transaction details to various spreadsheets. Maintain a record of faculty level search costs.
- Provide support and advice to staff/faculty with purchasing cards to ensure correct sub-accounts used and purchasing meets Faculty, Department and University policies; charge invoices to appropriate account numbers.
- Understand the overall operation of the Department to maintain a good working knowledge of department, university, and hospital policies and procedures in order to perform day-to-day finance related activities for department and relieve the Finance Director of routine financial matters.

**Note**
- The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.**Required Qualifications**
- Business/Administrative Professional program with approximately five years’ related work experience in a high-volume, document processing environment (or equivalent combination of training and experience).
- Proficiency in MS Office, especially Excel.
- Experience reconciling financial statements and completing financial forms.
- Excellent written and verbal communication skills, interpersonal and organizational skills.
- Strong initiative and strong judgment as well as time management, analytical and problem-solving skills.

**Assets**
- Proficiency with Dalhousie Financial programs, such as Chrome River, My Journals, EPAF, Time Entry, OneDrive, FAMIS.
