The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, and far more.

As Awards, Mentorship and Wellness Administrator, you will play an integral role serving as the primary administrative resource for the DFCM Awards Faculty Lead, DFCM Mentorship Lead and DFCM Wellness Lead positions and coordinate their strategic priorities. You will coordinate a wide variety of project cycle tasks that require a great deal of tact, and adaptability within an unpredictable, fast paced environment. This includes supporting award nomination packages, committee activities, coordinating tasks and keeping to timelines. Your exceptional organizational skills, time management, and attention to detail will contribute to the success of these DFCM Faculty Lead roles.

**Your responsibilities will include**:

- Coordinating tasks for projects and other strategic initiatives with stakeholders
- Resolving issues within the scope of the role and escalating problems as required
- Collating, organizing and formatting data forpresentations and reports
- Writing routine documents including: editing content for brochures, newsletters, websites; updating and maintaining curriculum vitae and maintaining information on digital platforms
- Identifying and introducing variations to established administration processes
- Performing financial responsibilities including making minor purchases, collaborating on cost estimates and processing accounts receivables
- Maintaining a database of awards information anddecisions and checking that applicants meet the requirements outlined in the awards criteria

**Essential Qualifications**:

- Advanced College Diploma in a relevant field, or acceptable combination of equivalent combination of education and experience.
- Minimum three (3) years’ of relevant administrative and project management experience, preferably in a University and/or hospital environment
- Experience coordinating projects and managing priorities
- Proven experience writing and drafting nomination letters and minutes
- Experience scheduling appointments and resolving scheduling conflicts
- Experience supporting award distribution coordination
- Experience supporting meetings and independently drafting correspondence and communications including drafting presentations
- Proficiency with MS Office Suite and survey tools
- Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
- Exceptional interpersonal and communication skills, both verbal and written, organizational skills, strong proof-reading and editing skills
- Ability to multi-task in a fast paced environment and effectively prioritizing activities
- Demonstrated ability to take initiative to improve processes
- Ability to work well independently but also as part of a team
