We are looking for an outgoing, welcoming, and professional individual to join our team. As the front of house administrator, we are seeking a self-motivated individual with strong interpersonal, communication, and organizational skills.

You will be the first point of contact for all clients when they interact with our clinic. Our front of house is responsible for creating a welcoming and professional environment for our clients, while also being able to perform administrative tasks efficiently to ensure the smooth running of the clinic.

- **Strong communication skills**:

- you must possess excellent verbal and written communication to effectively interact with both clients and practitioners.
- **Attention to detail**:

- a strong eye for detail to ensure all client information is accurately recorded, and that appointments and Billings are processed correctly.

- must be able to multitask and manage your time effectively to make sure all client needs are met promptly and that tasks are completed in an accurate and timely manner.
- **Empathy** - must be able to empathize with clients and show compassion for those who may be dealing with difficulties.
- **Knowledge of Medical Terminology** - a basic understanding of medical terminology and medical aesthetic terminology is an asset, but not mandatory.
- **Technology literacy**:

- **Confidentiality** - must respect client confidentiality.
- **Professionalism** - must maintain a professional demeanour and attitude, while being approachable and friendly towards clients.

**Role & Responsibilities**
- Greeting clients upon arrival and seating them in their treatment rooms.
- Managing clinic work flow and bookings for all practitioners.
- Ensuring clients are adequately prepared for appointments and answer any pre or post care inquiries.
- Document patient interactions in their chart via digital software.
- Screening and completing intake forms via digital software.
- Responsible for cash float, invoicing and billing clients.
- Inventory management.
- Medical assisting, where needed (numbing clients, taking before and after photographs).
- Delivering an exceptional client experience from beginning to end
- Keeping the clinic organized, client and stocked.

**Background**

Medical experience or education is an asset (but not mandatory).

Reception experience or education is an asset (but not mandatory).

Customer service experience is an asset (but not mandatory).
