Kelowna, Canada Coldstream Helicopters Ltd. Full time

Coldstream Helicopters Ltd. is a commercial helicopter operator headquartered at the Kelowna airport with various bases operating approximately 15 helicopters. Coldstream is active in the firefighting, emergency services, heli-skiing, powerline and construction sectors.

Coldstream is seeking to fill the full-time position of Maintenance Department Clerk. Reporting to the Director of Maintenance, this position will provide assistance to the maintenance department as a whole, and will encompass a wide range of shipping and receiving, technical records administration and reporting responsibilities. **General Description of Work**

The incumbent performs a number of administrative and logístical duties in support of and under the direction of the Coldstream Helicopters Ltd. Maintenance Department management team. The Maintenance Department is a quick-paced, dynamic environment in which the requirement for specific functions to be performed can change on any given day. The Maintenance Department Clerk position is intended to be a position that is cross-trained on all administrative functions of the Maintenance Department so that the incumbent can provide assistance to the Maintenance Department as deemed necessary at a particular point in time.

**Job Description - Shipping/Receiving/Parts Coordination Major Responsibilities**

The incumbent performs a number of shipping, receiving and inventory duties:

- Shipping and receiving functions
- Determine appropriate and cost-effective method of shipment and prepare bills, invoices and other shipping documents
- Assemble containers and crates, pack goods to be shipped and prepare identifying information and shipping instructions
- Certification of invoices for quantity and quality of goods received - inspect and verify incoming goods against invoices or other documents, record shortages and reject damaged or incorrect goods
- Unpack and route goods received to appropriate storage area(s)
- Understand and undertake proper shipping procedures for transportation of dangerous goods
- Maintain internal record-keeping systems to ensure proper records of parts and inventory
- Understand and undertake safe storage and handling procedures for inventory, including dangerous goods
- Undertake the proper storage of parts and inventory
- Organize storage in logical sequences so as to ensure that all items can be identified precisely and storage space is used economically and effectively
- Issue materials as authorized by proper requisitions
- Ordering of parts and goods as instructed by the Director of Maintenance
- Maintain a clean and secure work area(s)
- Other assistance with inventory management as determined by Maintenance management

**Job Description - Technical Records Major Responsibilities**

The incumbent performs a number of duties with respect to the processing and maintenance of aircraft journey log time and maintenance records in accordance with Coldstream Helicopter Ltd.’s Maintenance Control/Policy Manual (“MCM”):

- Administer aircraft technical records and associated archives as per regulatory requirements (i.e. maintenance and airworthiness records)
- Process incoming aircraft maintenance work order packages and journey logbook pages
- Input aircraft flight time in the maintenance tracking program (currently WinAir)
- Input and update maintenance performed on aircraft into the maintenance tracking program
- Ensure parts are recorded and issued to the aircraft in the maintenance tracking program
- Other data entry tasks as required
- Ensure accuracy of flight logbook page times
- Preparation of monthly aircraft utilization reports or other reports for internal departments and outside agencies as required
- Provide reports of upcoming maintenance forecasts, and assist Person Responsible for Maintenance forecast, for aircraft based on maintenance schedules
- Maintain Component History Records (“CHRs”) and/or log books
- Maintenance and preservation of aircraft paper records, filing and secure storage and retention of
- Other assistance with technical records as determined by Maintenance management
- Other assistance with aircraft maintenance and/or quality assurance and/or inventory management as determined by Coldstream Maintenance Department management

**Other Duties**
- Carry out other duties as assigned by the Coldstream management team
- All duties are with respect to Coldstream and its affiliated companies
