**SUMMARY**

The Event Venue Manager is responsible for overseeing select large events, including aspects of event planning, event coordination, and event execution. The Manager will ensure all event-related activities are organized and run smoothly from planning through event wrap-up. They ensure that events run smoothly and that guests have a positive experience while at Westerner Park. Responsibilities include event planning, logistics, vendors, staff, and day-of-event activities, and supporting customers and guests. This position is critical to the successful execution of client and self-produced events in a fast-paced environment with dedicated attention to detailed event planning using a project management approach to set operational teams up for success.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**

Under the direction of the Senior Manager, Entertainment, the Event Venue Manager is responsible for the following:
**Supervisory**
- Box office Agents & Supervisors
- Ticket Scanners & Supervisors
- Ushers
- Contract Personnel (Medics & Security)
- Parking
- Information Booth
- Work with Food and Beverage, Event Services and Event Delivery

**Leadership**
- Mentor and guide the entertainment and ticketing team to reach peak performance.
- Establish and maintain a culture of communication, trust, and collaboration within the team.
- Provide ongoing training and guidance to enhance team expertise.
- Recruit, onboard, and train new event venue staff members.
- Monitor and evaluate team performance, providing feedback and coaching to ensure goals are met.
- Collaborate on event budgets with financial and operational accountability.
- Develop Event and staffing standards and procedures.

**Event Management**
- Develop, implement, and monitor event plans, budgets, and timelines, including meetings with clients or the Event Services team when needed for client event plans.
- Coordinate staff, vendors, and subcontractors to ensure the successful execution of large events.
- Oversee, with the Event Delivery team, the setup, maintenance, and teardown of large events.
- Supervise event volunteers, staff, ushers, ticketing, security, food and beverage, and delivery personnel.
- Manage event logistics.
- Monitor event attendee capacity and ensure safety protocols are in place.
- Ensure all guests have a positive experience.
- Resolve any issues that arise during events.
- Analyze event data to determine areas of improvement.
- Ensure event compliance with local laws and regulations.
- Implement and maintain safety and security procedures.
- Balancing client needs with the achievability of event logistics and venue standards.

**Administration**
- Create and manage event staffing schedules.
- Monitor and manage staff performance.
- Arrange for additional staff and equipment as needed.
- Respond to customer inquiries and complaints.
- Systems supervisor, user, and sometime trainer of Paciolan, Clover, EventPro, AutoCAD and Sage.
- Produce reports for leadership as required.
- Conduct regular reviews and analysis of guest feedback.
- Distribute relevant information to the team to ensure seamless events.
- Design and implement event business processes that will elevate the experience and create efficiencies within the team.
- Conduct regular audits of quality assurance checks on event execution and documentation.
- Develop and maintain the guest experience resources within SharePoint.
- Participate in department and division planning meetings as required.

**Phased Role**

This role has two phases, with an increase in scope at phase 2.

**Phase 1 - Staff Development **_(6 to 9 months)_
- This period focuses on building a team within the Tickets and Entertainment Business Unit
- Development of a handbook and training program
- In conjunction with the handbook, development, and training of existing and new staff to align with the business unit objectives and expectations
- Develop staff and volunteer schedules
- Is an on-site Manager during select events

**Phase 2 - Event Development **_(9 to 12 months)_
- Continue to focus on the staffing component of the team
- Will take on more of a lead role as an event project manager
- Concert and entertainment event leading, with a focus on increasing organizational revenue.

**General**

- 1 - 3 years of event experience, supervisory experience, and customer service
