Job Summary

This part time position will manage projects to completion coordinating project timelines, vendor management, research production and knowledge mobilization. This position provides essential liaison between faculty members, partnering institutions and granting agencies. The role manages the review of research funding proposals as well as managing the research grants. It requires discrete handling of confidential situation as well as mature, independent decision-making to prioritize tasks and problems for the faculty member in order to maximize research productivity. Towards this goal, the incumbent develops and maintains reports and documents, coordinates relevant personnel and keeps the faculty appraised of issues activities and timelines.

This position will assist the Principal Investigators in carrying out strategic planning, communication and financial reporting in alignment with NSERC Grant Guidelines, unit plans and university policy and best practices.

Organizational Status

This position reports directly to the Lab supervisors and to the Director, Operations and Administration for administrative matters. The nature of the work requires independent action and judgment.

Work Performed
- Developing and implementing short and medium-term research plans.
- Facilitating collaboration and communication between the research partners.
- Managing project administration including managing planning and deadlines, and coordinating with project personnel.
- Preparing and monitoring the project's budget.
- Researching, authorizing and reviewing laboratory expenditures, equipment purchases, and travel reimbursements; overseeing Accounts Receivable activities such as invoices, collections and accounts receivable management; reconciling research grants, visa card statements, resolving discrepancies and directing the transfer of funds as necessary.
- Developing and implementing appropriate internal control and budgetary systems.
- Developing and implementing administrative policies, practices and procedures for the laboratory in matters relating to the integration of new personnel to the laboratory, communicating with principal investigators and implementing laboratory best practices.
- Participating in project planning and execution and attending meetings to define strategy, goal and scope of research projects.
- Acting as the laboratory representative in a liaison capacity with other research laboratories and other academic units.
- Liaising with outside agencies, institutions and industrial companies, etc.
- Liaising with various UBC departments such as Finance, Research Services, University-Industry Liaison Office, Risk Management Services and Facilities Management in matters relating to finance, research, health & safety and facilities.
- Establish and implementing purchasing policies and procedures for the laboratory and communicating with suppliers in matters relating to the monitoring of purchases, negotiating best values and prices; and overseeing equipment repairs.
- Assisting principal investigator in the prioritization of tasks.
- Facilitating and coordinating the organization of multi-investigator collaborations.
- Coordinating with the department Administrator for hiring and re-classifications for laboratory personnel.

Consequence of Error/Judgement
- Failure to manage the laboratory financial resources could result in over-expenditure of the project grants that could compromise future funding requests. Poor fiscal management could also result in the termination of positions within the laboratory to make up the budget shortfall and severe negative impacts on funding, employment and education.
