**Administrative Assistant, Pharmaceutical Distribution Centre**

**Full-time, permanent**

**Shift** - daytime hours with the flexibility to support other shifts if required

**Location** -14010 164th Street, Edmonton (on-site position, no remote is offered)

**Job Summary**

As the Administrative Assistant reporting to the Sr. Director of Operations, you will be responsible to manage the day to day administrative needs of the Distribution Centre as well as the key components of the Business unit. Professionalism, time management, and organization skills are key attributes for this role.

**Specific Responsibilities**
- Financial components using Ariba (budget management, PO management, invoicing, vendor payment follow up)
- Compile and monitor payroll - ADP time and attendance system
- Coordinate and facilitate warehouse recruitment, orientation and onboarding for new employees
- Schedule and attendance management for warehouse employees
- Monitor workplace injuries, disability or alternate claims for leave of absence
- Manage and track the vacation and time off request process for all DC employees (union and non-union)
- Interpretation and execution of all components of the Collective Bargaining agreement
- Relationship management and correspondence with local Union Representatives
- Health and Safety oversight (H&S committee and Corporate wellness programs)
- Coordinate and support corporate and local employee engagement and community initiatives
- Site security oversight - support Operations
- Collaborate with peers as well as regional and home office contacts on tasks and corporate initiatives
- Various ad-hoc tasks and reporting when required

**Minimum Qualifications**
- Typically requires 3+ years of related experience.

**Additional Qualifications**
- Minimum 3 years of administrative or other related experience
- Post secondary education in Business Administration or Supply Chain is preferred
- Intermediate to advanced proficiency with Microsoft Office suite
- Outstanding communication and presentation skills
- Experience with payroll and/or time recording software preferred (ADP experience preferred)
- Experience with Workday and SAP are preferred
- Experience interpreting collective bargaining agreements to assist warehouse staff with questions is preferred
- Experience with health and safety and WCB preferred
- Flexible with the ability to meet deadlines in a dynamic, high demand, fast paced environment
- Superior analytical skill including attention to detail and accuracy
- Strong time management skills
- Ability to function independently using professional confidentiality
