Retail Project Coordinator

Reporting to the Manager, Retail Operations, the **Retail Project Coordinator** is primarily responsible for overseeing all aspects of projects related to store maintenance and construction, as well as essential support for retail operation.
The position requires a significant amount of social interaction with coworkers, vendors, field associates, and global partners, making attention to detail and clear and transparent communication skills necessary. The incumbent has experience working in a fast-paced environment, skillfully managing a portfolio of several projects at once with mínimal supervision
**ESSENTIAL FUNCTIONS**
- Manages RFQ issuance, competitive estimate assessment, and submission deadline monitoring.
- Creates purchase orders, collects invoices, and facilitates project closure payments.
- Obtains project approvals and submits invoices for processing.
- Collaborates with Finance to plan and adhere to CapEx budget.
- Prepares SOWs and assists in vendor/trade/partner selection (ie. insurance, union certification, etc.).
- Leads Store Planning meetings, updates calendars & coordinates tasks weekly.
- Manages store layout planning, and approvals, and coordinates store activities.
- Oversees activities related to store openings, store renovations or refreshes, and store closures.
- Coordinates shipments and warehouse logistics.
- Collaborates with District and Store Managers on maintenance and renovations.
- Communicates ongoing with on-site trades and contractors.
- Conducts inspections and ensures project adherence to requirements (ie. drawings, specifications, standards, timelines, etc.) and budget.
- Supports field with Construction & Maintenance requests.
- Communicates changes, and coordinates action items, timelines, and tasks with project status.
- Manages store facility requirements and maintains organized electronic files.
- Draft project status reports and correspondence.
- Manages store floor layout planning, ensuring adherence to brand standards, legislative compliance in shop drawing coordination, and obtaining necessary approvals.
- Visits project site when possible and as needed, to conduct inspections.
- Responsible for placing material/fixture/display item orders on time, updating on-hand inventory regularly.
- Supports the field with prompt follow-up on Construction & Maintenance requests from submissions.
- Ensures each project meets the requirements on a timely basis without surpassing the budget.
- Perform other duties as needed.
**REQUIRED SKILLS & QUALIFICATIONS**
- Post-secondary education in business administration, retail management, project management, or a related field, or demonstration of equivalent experience.
- Minimum 3 years of experience in retail operations or project coordination.
- Proficiency in MS Office Suite (Word, Excel, Outlook & PowerPoint).
- Proficient in utilizing graphic design software like Adobe InDesign, Photoshop, and Illustrator.
- Experience working with AutoCAD is preferred.
- Holds a valid Ontario Driver’s License and maintains a clean driving record
- Owns reliable transportation for commuting to various project sites as needed.
- Occasional travel may be required.
**COMPETENCIES**
- Strong verbal and written communication skills.
- Aptitude for identifying and resolving customer issues promptly and efficiently.
- Understanding of retail operations, store processes, and procedures to contribute effectively to retail support tasks.
- Possesses experience in interpreting project contracts, specifications, and drawings, with a solid grasp of construction industry best practices.
- Ability to work collaboratively with cross-functional teams, both online and in-store.
- Ability to prioritize tasks, manage workload efficiently, and meet deadlines.
- Meticulous approach to ensure accuracy in order processing and customer interactions.
- Ability to work independently and as part of a team.
