**Job Summary**
- The Department of Anesthesia, Pain Management and Perioperative Medicine (APMPM) is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the areas of anesthesia, pain management and perioperative medicine. Reporting to the Chief Operating Officer (COO), the Administrative Assistant provides senior administrative support to the Department Head, Associate Head and the COO, as well as overall office management support to the department.

**Key Responsibilities**
- Support the Department Head and COO in maintaining their internal and external professional commitments. Maintain work calendars and manage schedules, and provide the preparatory materials necessary.
- Ensure the proper disposition of correspondence, documentation, electronic distribution lists and address books. Compose correspondence independently and ensure accuracy. Ability for original composition is essential.
- Make travel arrangements as required. Prepare travel claims for Head of the Department, faculty, residents and staff.
- Coordinate and support a high volume of senior level meetings and departmental committees, preparing up-to-date agendas and supporting materials, developing accurate and timely minutes, and proactively actioning follow-ups as required. Coordinate arrangements including accommodation, facilities, catering, audiovisual, teleconferencing, preparation and distribution of pertinent materials.
- Coordinate and monitor faculty and staff-related human resource functions such as processing documentation for new hires, physician credentialing and licensing, and faculty appointments and promotions.

**Note**
Due to operational requirements, the successful applicant is required to primarily work in-person on site, (with some flexibility for occasional remote).
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary. As this position is based within the Nova Scotia Health facilities, the vaccine mandate still applies to this position.
- Occasional evening work is required for meetings and events._

**Required Qualifications**
- Office/Business Administration program, plus a minimum of three to five years’ administrative or relevant experience (or equivalent combination of training and experience)
- Must demonstrate strong organizational, interpersonal and communication skills (verbal and written).
- Accuracy and attention to detail in a deadline driven and fast paced environment.
- Patient privacy and confidentiality are critical.
- Proficiency in Microsoft Office suite.

**Assets**
- Experience working in a large, fast-paced multi-stakeholder environment in a higher education or clinical setting.
- Training and experience in the use of specialized medical terminology.
