**Position**: Administrative Assistant - Store Maintenance, Procurement, and Coordination

You would be responsible for:
**Job Functions**:
Store Maintenance
- Collaborate with the operations team to ensure the overall cleanliness, organization, and functionality of the store environment.
- Regularly inspect the store / head office premises to identify and report any maintenance or repair needs.
- Coordinate with external vendors and service providers to obtain quotes, schedule and oversee maintenance and repair work.
- Keep track of maintenance records, invoices, and warranties for equipment and fixtures.

Procurement and Sourcing
- Assist in sourcing and procuring supplies, equipment, and materials required for the company’s operations.
- Maintain relationships with suppliers, negotiate prices, and monitor the quality of products received.
- Monitor inventory levels and place orders to ensure optimal stock levels are maintained.
- Conduct research to identify new suppliers and products that align with the company’s needs and budget.

Store Opening and Closing Coordination
- Coordinate the opening and closing procedures of the store, ensuring they are executed efficiently and according to established protocols.
- Prepare the store for opening, including ensuring adequate staff presence, setting up displays/fixtures, lighting, security and safety, and ensuring all systems are operational.
- Oversee the closing process by working with various internal departments to ensure all store closing tasks are on track for deadlines.
- Coordinate logistics for shipments to and from opening / closing store locations.

Administrative Support
- Maintain accurate records and documents related to store maintenance, procurement, and coordination activities.
- Assist in preparing reports, presentations, and other relevant documents as needed.

Communication and Teamwork
- Collaborate closely with district managers, employees, and cross-functional teams to ensure smooth operations.
- Communicate effectively with internal and external stakeholders, including vendors and service providers.
- Act as a point of contact for any store-related inquiries and provide timely responses and solutions.

**Qualifications**:

- High school diploma or equivalent; additional education or training in business administration or related field is a plus.
- Proven experience in administrative roles, preferably in a retail or facilities management setting.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with inventory management systems.
- Problem-solving abilities and a proactive attitude towards addressing issues.
- Ability to work independently as well as collaboratively in a team environment.
- Attention to detail and a commitment to maintaining high standards of store appearance and functionality.

**Salary**:$42,000-48,000

**Benefits**

**Schedule**:
40 hours per week/8 hour shift per day -Monday to Friday

Holidays and Weekends (occasionally)

Should be available for overtime hours if required
