**Overview**:
The Program Assistant is responsible for various back-end logistics and administration of the Future Global Leader program. Reporting to the Manager, UBC Camps and Program Lead, Future Global Leader, with additional guidance from the Director of Community Programs, UBC Extended Learning, the incumbent will be responsible for coordinating and evaluating the numerous aspects of the Future Global Leaders program. The Program Assistant will also act as the primary liaison between the UBC Camps Office and UBC Extended Learning.

**Work Performed**:

- Coordinate the collection, tracking and executing of all necessary program documentation in collaboration with UBC Extended Learning; including, but not limited to, consent forms, pick up permissions, and media consent.
- Assist in pre-program training (tentatively June 25 - July 1, 2023)
- Supervise academic schedule logistics with various campus and community partners
- Coordinate and monitor announcements on the program’s online platform
- Lead and execute all Academic and Classroom activities part of Future Global Leaders
- Meet with Program Lead - Future Global Leaders regularly to provide feedback and context from Extended Learning
- Act as a liaison and representative of UBC Extended Learning in all matters FGL
- Review entries and questions on online chatrooms for future and current FGL students, clarifying any doubts
- Support Overnight Program Coordinators and Program Lead in attending to student concerns
- Supporting program operations by compiling program reports for logístical purposes
- Available on evenings and weekend in extended capacity during July and August
- Inventory counting and checking
- Perform minor website updates as required
- Attend all mandatory staff meetings
- Perform other duties as necessary, or as assigned

**Qualifications**:

- Experience working with youth ages 12-18 in group settings
- Experience working with culturally diverse youth
- Experience managing and balancing a budget
- Familiarity and knowledge about UBC Canvas and other learning technologies
- Experience supervising staff & volunteers
- Ability to adapt to new situations, and be flexible with change
- Enthusiastic, self-starter, organized and responsible
- Proven ability to learn quickly
- Writing, editing, communication and project management skills
- Ability to work in a team environment and independently
- Ability to initiate, learn quickly, and exercise sound judgment
- Strong working knowledge of MS Word, Outlook and Excel
- Excellent problem-solving skills
- Excellent time management and organizational skills
- Excellent written and oral communication skills, specifically as a liaison between multiple parties
- Ability to provide current Criminal Record with Vulnerable Sector Check
- Ability to use personal cell phone, including data, for work purposes.
- Current Standard First Aid and CPR-C/AED certification
- Ability to speak Mandarin or Cantonese an asset
- Valid Class 5 Driver’s License an asset
- Valid Class 4 Driver’s License an asset

**Supervision Received**:
Reporting to the Manager, UBC Camps and Program Lead, Future Global Leader, with additional guidance from the Director of Community Programs, UBC Extended Learning. Interacts with numerous members of the Future Global Leaders administrative team, other department and campus units, as well as program partners, other campus and community partners and external vendors.

**Duration of Position**:May 8 - August 25, 2023

**Salary**: $3,600 monthly
